With the recent enactment of the Health Insurance Portability and Accountability Act (HIPPA) and the Sarbanes-Oxley Act, the integrity of electronic records and retention requirements are impacting more than just traditional regulated industries. Executives in every public company need to be confident that internal controls produce trustworthy electronic records.

Some of the key components in record retention compliance are: 1) integrity --
proving that an electronic record has not been altered; 2) retention period- applying the appropriate retention period to the individual record; 3) audit trail-providing a history of access to the record; 4) encrypting the record for privacy regulations; and 5) disposing of records at the end of the retention period.

Its interesting that in the UK its a legal requirement to destroy a record at the end of its retention period if it contains any personal information, while in North America most companies desire to destroy their records as soon as possible. Finding all copies of the records stored has been a problem, but deleting individual records from magnetic tape or optical media has been impossible. AEStores patent pending technology allows the removal of all information at the end of the retention period whether the record is on tape, disc, or optical media," according to Mr. Gosnell.
