The information and analysis in this report is based on primary research conducted by throughout 2003. It consists of information collected from vendors, service providers and users within Global 1000 corporations via interviews and surveys.

The focus of the research was worldwide with a heavy emphasis on the European and North American markets where most key developments in e-mail archiving are currently occurring.

Secondary research sources have also been used, where appropriate, to cross-check the information collected. These include company annual reports and market size information from various market segments of the computer industry.

As e-mail evolves into a primary communication channel, shouldering aside other forms of communication, such as postal mail, faxes and even the telephone, companies are getting more apprehensive about monitoring and preserving the content of messages.

According to a major survey, conducted in mid 2003 with 105 global corporations from a variety of industries, 86% reported that e-mail archiving is either very important, or somewhat important to their companies. Only 14% responded that e-mail archiving is not important to them at this time.

The survey, however, also revealed a big discrepancy between the respondents who indicated that e-mail archiving is either very important or somewhat important to their company (86%), and a much smaller number of companies that reported to actually have a formal e-mail archiving policy in place (37%). We believe that this is a solid indicator that this market is due for major growth in the next few years.

Two key factors, linked to the growth of the messaging market, are affecting the growth of the e-mail archiving market:

- Continued growth in e-mail traffic volumes and size, and
- Continued growth in the number of mailboxes.

E-mail archiving solutions today address 3 major management problems created by the rapid growth of the messaging market:

1. Storage Issues -- with an average employee processing over 76 e-mails per day, the rapid swelling of inboxes is everybodys problem. In order to save space or comply with corporate mailbox size restrictions, old e-mails are often deleted to make room for new messages, causing important information to be lost.
2. Regulatory Compliance Issues -- as e-mail grows into one of the primary communication channels for customers, partners and employees, it comes under greater scrutiny from regulatory agencies, such as SEC and NASD, which require companies to preserve important messages in their original form and make them available for auditors to review on demand. This is particularly necessary in highly regulated industries, such as financial services (banks, insurance companies, brokerage firms, etc.)
3. Legal or Internal Policy Compliance Issues - to avoid being sued for derogatory remarks or offensive material distribution, as well as to prevent sharing of sensitive or inappropriate information via e-mail, companies have to be able to audit their users messages (by searching through indexed past e-mails) in order to pinpoint offenders, as well as to prevent such future incidents.

Full-fledged e-mail archiving solutions are designed to help companies solve their storage, regulatory and internal compliance problems in one package -- they offer long-term, interactive storage of e-mails (both messages and attachments) in a separate file store, with easy search and retrieval capabilities.

In our survey, all respondents had an idea of what interactive e-mail archiving is, however less than 7% of all companies were actually using a commercial solution specifically designed for this purpose. Most other companies were relying simply on traditional storage methods, such as backup tapes, and others. Some of the major factors, slowing the penetration of specialized e-mail archiving products include:

- Confusion about what these products/solutions really offer, since different vendors focus on different aspects of archiving: some focus mainly on solving the storage problem, others focus on various aspects of the compliance puzzle, while still others focus mainly on legal issues. Vendors are also targeting different vertical markets, with highly specialized offerings, which do not always cross over well into more general environments.
- Pricing is another big issue, especially for customers looking mainly for a
solution to address storage issues, rather than regulatory compliance.

While e-mail continues to be one of the most prevalent corporate communication channels, take up of instant messaging (IM) is also growing at a fast pace. Since it has been determined by the SEC that just like e-mail, IM conversations should be preserved for future reference, several archiving vendors have begun to release solutions, in partnership with IM management tool companies, designed specifically for archiving IM sessions.

Even though the e-mail archiving market has a great diversity of players, it is still an emerging market -- the majority of companies have been offering their solutions for less than four years. The initial vendors serving this market were small pure-play companies. Recently, however, a number of large, traditional backup and data storage vendors also started to enter the market, by adding more sophisticated search and retrieval capabilities to their storage products.

Today the e-mail archiving market can be split into two segments:

- E-mail archiving vendors (offering products), and
- E-mail archiving outsourcers (offering services).

By the end of 2003, we expect that revenues for e-mail archiving vendors worldwide will reach $126 million, growing to over $1 billion by 2007.

E-mail archiving outsourcers are expected to collect about $38 million in revenues in 2003, and grow to $449 million by 2007.
