New Jersey Consulting Firm Advises Businesses To Pay Attention To Security When Planning Offsite Meetings

Meeting and Conference planners should make sure that the venues they choose have proper security protocols in place, and are prepared for emergencies that may occur while you are a guest at their facility.

Springfield, NJ (PRWEB) October 29, 2003 - Planning a successful business meeting requires focus and attention to detail, particularly when that meeting is being conducted offsite. Selecting a venue and speakers, as well as preparing the agenda, meeting room, meals and audiovisual equipment are all important tasks. But, according to Richard M. Secure Defense Systems recommends that anyone planning an offsite meeting for their company ask a few important questions, such as:

 
  • What do you know about the facility where the event is being held?
  • Does it have a history of incidents of theft, assault, robbery, etc.?
  • Are criminal background checks conducted for the facility's staff?
  • Have you or someone else from your company been there before?
  • Is a secure parking area available for guests and visitors? Or, can they utilize a valet service?
  • Are there any other events taking place at the same time in this venue that heighten the security profile?
  • Have you consulted with your company's security director to get his/her input about the facility you'll be visiting?
  • Does your company's meeting facilitator know whom to contact at the host property in the event of an emergency?
  • Are there written security procedures that you can review? Do they include an emergency evacuation plan?
  • Is the emergency contact information for each person attending the event up-to-date? Is it easily accessible?
  • Do you have emergency contact information for key people within your company?
  • Are you familiar with the facility's evacuation plan, and have you considered how you will respond in the event of an emergency?
  • Have you also taken steps to protect your company's property and proprietary information?

There are many other areas that can be examined, so Cordivari recommends reviewing your security and safety protocols for off site events. Seek out the assistance of your security department and, when necessary, consult a security professional with experience in the hospitality and travel industries.
