The daily schedule is the starting point. Free flow, fixed, and floating schedules can be selected, along with start and end times and rules for lunch breaks. Shift descriptions and holiday work rules are also entered.

Weekly schedules are then configured by indicating the start and end dates for defined work cycles. Each cycle includes a set number of days, week-end work rules, and links to the relevant daily schedules.

Once these are set up, the employee mass edit feature can be used on individual personnel data imported directly from legacy HR files. “Administrators and managers love the mass edit feature,” Loss pointed out. “It’s a huge time saver.”

In addition to each employee’s name, department, location, and title, the mass edit screen also provides input fields and clickable options for entering pay periods, employee type, salary, and cost center. Two other critical delimiters are also established on this screen: the security level for viewing and altering time records, and the authority for deciding paid time off (PTO) requests.

With this information entered, managers can take advantage of three overview screens to get instant answers to schedule and coverage issues, a real time advantage that results in lower labor costs and more efficient management. The first overview shows schedules plotted on normal calendar sheets. The second shows who’s scheduled to work what hours during a selected date range. The third offers a colored bar chart matching scheduled attendance to each quarter-hour of the workday.
