Top 500 School Districts Make Move to Electronic Transcripts

Large districts lead national trend to provide better service at less cost.

LOS ANGELES (PRWEB) November 30, 2005 -- Docufide, the leading provider of electronic school transcript exchange services, announced today that five more of the country’s largest public school districts have adopted its Secure Transcript service. Including these recent contracts with school districts in Capistrano, Hesperia, Newport Mesa, Montebello and Washoe County, Docufide now processes electronic transcripts for top 500 school districts throughout 11 states.

In signing with Docufide to handle the ordering, processing, and delivery of their official transcripts through Secure Transcript, these major districts join a national trend towards electronic transcript processing. Because electronically delivering transcripts provides process improvements and better student service while actually providing relief from budget constraints, schools, districts, and entire states are finding that the new technology aligns perfectly with their educational missions. The service is free to schools, financed by a nominal student-paid online fee that is waived for students of financial need.

The nation’s 500 largest school districts serve 43% of all American students, even though they make up only 3% of the country’s 17,140 districts. In addition to meeting the needs of these large school districts, Docufide is actively participating in statewide initiatives, such as their recently-announced contract to serve all of Indiana’s public and private high schools. Including both top 500 districts and statewide programs, Docufide’s Secure Transcript service is now available to millions of students and alumni nationwide.

Why schools are adopting electronic transcripts

“We’ve been looking for ways to improve processes and free up our administrators’ time to focus on the needs of our students” says Dr. Frederick Navarro, Director of Secondary Curriculum and Instruction for Newport-Mesa Unified School District. With Secure Transcript, schools instantly realize a significant savings of both time and money by replacing a manual, work-intensive task with one that is largely automated though online student/parent ordering and electronic processing and delivery. “Not only does this make the process much easier, but it makes our students happier, too,” says Dr. Navarro.

“After one hour to install and learn Secure Transcript, we were up and running; it really was that easy” commented Darla Crouse, District Registrar for Capistrano Unified School District. “Adopting Secure Transcript means no more paper forms for students, no “did it get there yet” calls, no chance of fraud, and no lost requests or transcripts. It’s great to know that every transcript request has a unique tracking ID that can be traced by us, the students, and the colleges throughout the delivery process. We also feel very confident about Docufide’s experience and the support they provide. Docufide has really been wonderful and makes my job so much easier.”

Expected by students

In addition to saving time and money in high school offices, Docufide improves service to students by giving them the convenience they expect. Today’s high school students are rapid technology adopters and are comfortable with online transactions. Most students are already applying to college online; they want the same convenience when ordering transcripts. With Secure Transcript students and parents not only enjoy online ordering, but also receive email notifications when their requests are approved, and final notification when their transcripts are delivered, eliminating the natural concern of “did it get there?”.

A success for everyone

The National Center for Education Statistics estimates that high schools spend $6.70 for every paper-based transcript they process. With each college-bound student requesting an average of six transcripts, that adds up to more than $40 per student. Eliminating printing, stuffing, mailing, and postage from the process can recoup over 90% of those costs. Colleges save even more, with an estimated administrative cost of more than $9 to open, scan, route, and file each incoming paper transcript.
