WinScribe a world-leading provider of digital dictation software, today announced that its digital dictation solution has effectively streamlined the workflow process, reporting requirements and office administration duties of home-based medical transcriptionists, making them more efficient and able to expand their business.
Home-based transcriptionists, like many home-based workers, are often ill-equipped to take on increased volumes of work or to grow their operations without investing in what is typically a cost-prohibitive dictation solution created for large institutional users.
WinScribe’s digital dictation software, however, allows home-based transcriptionists to log in to a user-friendly Internet-based platform full of helpful drop-down menus to import and manipulate various audio or voice files, which they can then transcribe, organize and track.
“Home-based medical transcribers really have their work cut out for them -- there’s no question about it,“ said Matthew Weavers, chief executive officer of WinScribe. “When you look at the large amounts of highly sensitive information they process, we believe that our dictation software helps them to better manage the many elements of their jobs and get far more done in significantly less time.”
For instance, the co-owners of Rochester, N.H.-based Vauxcom Inc. -- which provides medical transcription services to facilities ranging from acute care hospitals to small family medical and specialty clinics -- embarked on an industry-wide search for an affordable digital dictation system before getting in touch with WinScribe.
“As the transcription manager for a community hospital, I was using a dictation system with a six-figure price tag,” said Mary Lou Woodward, co-owner of Vauxcom. “So when we went looking for a system, we went to the same distributor and purchased a solution designed for smaller businesses. What we discovered over time, however, is that the distributor didn’t know the product and that it couldn’t do what we were told it would do.”
After four months of trying to get the system to work, Woodward and Neal Runions, Vauxcom’s co-owner, sent the system back and received a full refund from the distributor.
“Then we found Executive Communication Solutions (ECS) on the Internet,” Woodward recalled. “Their sales person stayed late that evening to show us a demonstration of the WinScribe system, and we were so impressed we placed an order the next day. ECS provided us with a loaner system until our WinScribe solution arrived, and it was all completely seamless.”
Vauxcom had two clients generating 125 jobs per day before they migrated to the WinScribe system. The medical transcription company relied on its new WinScribe system to better serve its largest accounts. The largest client is a hospital that uses Vauxcom to handle its overflow.
“The hospital owns 12 practices, which employ 39 physicians,” Woodward said. “We download their practice notes each day using the WinScribe Importer, which allows our server to receive jobs from the hospital’s dictation server. It is an excellent system. WinScribe compares very favorably with the expensive high-end systems I’ve used in hospitals. It has absolutely great functionality for the price.”
Vauxcom’s second large client consists of two physicians who dictate jobs to Vauxcom using WinScribe Telephone Dictation.
Vauxcom has also used WinScribe Internet Typist to help its independent contractors throughout the U.S. download jobs, almost instantaneously, via the Internet and transcribe its dictation jobs.
“Another big benefit of WinScribe from a transcription point of view is that the licenses are for concurrent users,” Woodward said. “This allows us to have more transcriptionists than licenses as not all of our transcriptionists are working at the same time. Our previous system didn’t allow this -- that was a big problem for us.”
From a compliance standpoint, Vauxcom has found that WinScribe’s reporting and accountability tools are two of the system’s best features.
“In the U.S., there is a lot of legislation that we need to comply with to protect the privacy of a person’s healthcare information,” Woodward said. “WinScribe provides us with the necessary security and accountability. All the data is encrypted when it is transferred from the hospital to Vauxcom and over the Internet to our transcriptionists. And the reports allow us to track who has accessed each job based on their login ID.”
“We can also track every job coming in and going out of the system, which is particularly important when we bid on government work,” Runions said. “We could see right from the start that WinScribe does what we want it to do and does it well.”
Overall, the WinScribe system has been well received by Vauxcom’s team of transcriptionists, and the medical transcription company hasn’t received any complaints from doctors who use the telephone dictation feature.
