Since June 2007, Hinshaw & Culbertson LLP has deployed WinScribe to 350 of its attorneys spread across 20 of its 25 U.S. offices. They plan to have the entire firm on WinScribe by year end. Prior to WinScribe, the group was capturing its dictation with analog audio tapes. Tapes were breaking and subject to loss. When their transcription machines, which were aging and no longer under warranty, began breaking, the group decided the time was right to move to a digital solution.
Attorneys now use Olympus DS4000 digital handheld units to capture their dictation. No longer are important audio recordings subject to loss at the expense of faulty equipment.
"The biggest benefit by far is the routing," says Brian Barry, Workstation Service Manager at Hinshaw & Culbertson LLP. "Office managers are able to easily move jobs to overflow word processors in times of heavy workflow and sick days. We process over 800 dictation jobs each week and have yet to lose a single job."
The ease in accessing and recalling information has also proved beneficial to the firm. Barry explains, "I was recently asked to retrieve the audio portion of three separate jobs that were dictated in the Appleton, WI office then transferred to our Chicago staff for transcription by three different typists. I was able to retrieve the three audio files in under a minute. I don't think that would have been possible with tapes."
WinScribe has provided the firm with much more than just a more secure and efficient method of capturing their dictation. It has provided them with a more productive dictation workflow process as well. Using WinScribe's web-based applications, attorneys can upload jobs into the system from any PC without installing any software. Attorneys can travel lighter or even use their home computers to upload dictation to the system. "In the past, we've had attorneys that literally mailed tapes to their secretaries," adds Barry. "Now the secretaries can transcribe those jobs within minutes of the attorney finishing the dictation, even if the attorney is across the country."
