PWS bridges PORTAL and the web to bring school admission services online, dramatically increasing Admission Office productivity

PWS has eliminated most data entry, and the volume of phone calls has been dramatically reduced. Now I can concentrate more on getting to know the kids.

inRESONANCE (iR), a leading developer of technology solutions for schools and educational institutions, today announced availability of PORTAL WEB SERVICES 2.0 (PWS), a suite of hosted online school admission services that connect directly to PORTAL, iR's comprehensive solution for admissions and enrollment management. Three distinct services -- online inquiries, applications, and notifications -- are integrated within one interface in PWS to help immediately increase Admission Office productivity, enabling Admission officers to spend more time engaging applicants.

"This is a challenging time for schools," said Kevin J. McAllister, founder and CEO of inRESONANCE. "Admission offices need to focus on delivering personalized outreach and a high level of service to families. PWS is easy to implement and powerful, making it easy for schools to add online applications and notifications. With PWS, we can help the Admission office dramatically increase its productivity and effectiveness for this Admission season."

Easy to deploy and manage
PWS is exceptionally fast and easy to deploy. It is offered as a hosted web subscription that links directly from a school's current site. It does not require additional work by school webmasters or web providers. Schools can easily manage PWS through a fully web-based administrative interface. The electronic data transfer to PORTAL is managed automatically through a FileMaker Pro application.

The three services in PWS -- online inquiries, applications, and notifications -- complement each other to provide a comprehensive, web-based solution for managing admissions and enrollment. The online inquiry submission system integrates with a school's current website and PORTAL to check for existing family or inquiry records in PORTAL, allows removal of duplicate or false inquiries, and transfers data to PORTAL without time-consuming data entry. The online applications service provides secure applicant accounts, online application submission, decision posting and online fee and deposit payments. Throughout the admissions season, schools can use the notifications service to inform applicants and their families of process status such as receipt of required forms. In addition, decisions can be published to the web with secure access.

"PORTAL and PWS are amazing. With PWS, 90% of our applications come in online, which is a beautiful thing," said Melaine Taylor, associate director of admission, University Preparatory Academy in Seattle, WA. "PWS has eliminated most data entry, and the volume of phone calls has been dramatically reduced. Now I can concentrate more on getting to know the kids."

Rich features for families and schools
On the web side, a family can create an account that will serve them throughout the application process. Applicants can control the process, logging in multiple times to fine tune applications before submitting them, downloading forms and uploading photos, and monitoring the status of required forms until the application is complete.

On the school side, a user can log in to the web interface to manage forms, view incomplete applications, and assist families with their accounts. For ease of use, the online version of the application mirrors the printed version.

On the database side, the Admission Office manages daily operations through a FileMaker Pro interface, including the timely screening, transfer, and synchronization of electronic data, and management of both inquiries and applications. inRESONANCE processes all fees and deposits, and schools can offer a waiver code to financial aid candidates. The school updates the status of each file in PORTAL as required forms arrive, and the web status can be quickly updated daily. Schools can post decisions online, including downloadable, personalized decision letters.

"PORTAL WEB SERVICES makes us more productive," said Jon Sheehan, director of database and online communications for admissions, Pomfret School in Pomfret, CT. "It used to be that we had to answer phone calls from applicants, then run to a folder and look up the status of a file. It's invaluable that parents can check the application status online. PWS allows us to focus on the work we need to be doing; it's a real time saver."

Based on FileMaker Pro 9
The PORTAL solution is based on the award-winning FileMaker® Pro 9, the #1 selling easy-to-use database platform. FileMaker Pro has won 46 awards, more than its next eight competitors combined, from 2003-2007 in the U.S., and a total of 129 awards worldwide during this time. Millions of customers, from individuals to large organizations, rely on FileMaker, Inc. software to manage, analyze and share information.
