Newest city in Colorado leads the way with cost-saving IT initiative

With the economy like it is, we are seeing more and more municipalities looking for ways to reduce their spending -- and being able to install and configure software remotely over the Internet and thereby reducing travel expenses is an avenue which allows us to help cities get more for their money

The City of Centennial is a vibrant community in Colorado that offers the benefits of city living and the pleasure of suburban and semi-rural life in beautiful and well-kept neighborhoods. The City, who was recently named the safest city in Colorado, now also holds another record of sorts -- for the fastest remote implementation of an agenda automation solution in the history of the City's vendor of choice, SIRE Technologies.

SIRE Technologies was retained in September of 2008 to provide the City with a means to move away from the paper-driven agenda process to an entirely automated system. This decision to "Go Green" goes along with what many cities and counties across the nation are doing by adopting technologies that allow them to reduce their dependency on paper while raising the efficiency of their processes. Another common theme among cities and counties across the nation is the notion of increasing government transparency and citizen involvement by having council meetings more open to the public - things that SIRE Technologies has helped cities and counties achieve for many years now.

The solution was implemented remotely from the company's headquarter in Salt Lake City, Utah. "With the economy like it is, we are seeing more and more municipalities looking for ways to reduce their spending -- and being able to install and configure software remotely over the Internet and thereby reducing travel expenses is an avenue which allows us to help cities get more for their money," says Kris Painter, President of SIRE Technologies.

The solution is intended to automate the old paper driven agenda processes and make managing the agenda more feasible for the limited City staff. With only two people in the office, about 25% of staff time was previously being spent on agenda processes -- time that can now be used for other important projects. Enforcing deadlines and making last minute changes to the agenda are now as easy as rolling up the final agenda and posting it on the web to comply with government transparency regulations. An automated workflow module allows department heads to electronically submit agenda items to be submitted for review for the next council meeting without staff having to physically walk the item around to the appropriate people. The electronic routing system is also making life easier and more efficient for the people reviewing the agenda items - thus saving the city time and money.

"We have been very happy so far with our new SIRE software,", said Brenda Madison, Deputy City Clerk. "We conducted training for staff last week, and everyone thinks it will be great. Our first meeting when we will be fully using SIRE for the entire agenda and packet process will be March 16th and we are confident that it will be seamless. With the help of SIRE, we look forward to having time to do the other important tasks of this office."

Additionally, the City is planning on taking advantage of SIRE's modular approach to solution building and adding different components like SIRE Minutes Plus and Video Plus to their solution in the future. SIRE Technologies is one of the nation's leading providers of streaming video technology for cities and counties and provides an integrated solution which cities and counties use to make it easier for their citizens to participate in their local legislation. In addition to providing streaming video, SIRE also provides linked meeting Minutes that are tied to the associated video, and which citizens can quickly and easily download from their city's website. SIRE's advanced searching capabilities takes this technology and simplifies it even more by allowing citizens to perform key word searches on the City's website to help them find the legislative Minutes they are looking for without having to read through all of the meeting Minutes documents.
