Treeno Software Helps Municipalities Improve Online Access to Town Records

York, Maine and Dover, New Hampshire reduce costs while simplifying access to town records

Because of the pervasive nature of digital information, the general public is demanding easy, online access to all kinds of information, and municipalities around the country have been feeling the pressure to digitize public information

Treeno Software, a proven leader in enterprise content management (ECM), has deployed its records management solution with the city of Dover, NH and the town of York, ME, providing both municipalities and the public with public access to town records, meeting agendas, zoning information and other files, while also streamlining internal workflow among committees and government sections.

With a loyal following of information technology professionals in higher education, manufacturing, financial services, healthcare and other file-intensive industries, Treeno Software's ECM platform helps organizations digitize images, documents, emails, audio recordings and other files and manage them through established day-to-day workflow processes.

Built with a cost structure aimed at small to medium sized businesses, Treeno Software's penetration into local government environments is a natural progression as municipalities continue to battle budget constraints.

"Because of the pervasive nature of digital information, the general public is demanding easy, online access to all kinds of information, and municipalities around the country have been feeling the pressure to digitize public information," said Will Thibodeau, founder and co-CEO of Treeno Software. "Our ECM software makes that transition easy while not breaking the budget of cities and towns that continue to be under tremendous financial strain."

In the town of York, ME, officials selected Treeno Software's ECM solution after struggling with two other document management systems users claimed were too complicated, unreliable or slow. After a selection process that included three other vendors, officials selected Treeno Software for its ease of deployment and operational speed.

York is currently running the platform to provide online access to a variety of documents related to zoning and real estate in the Eastern Maine town, including deeds, surveys, subdivision plans, building permits and building plans - "anything that relates back to a person's parcel," according to town GIS manager Brett Horr.

"By having these documents online, it saves people a trip to town hall - we've reduced traffic in town hall by 75 percent - which makes the people of York happier," added Horr.

In Dover, officials are using the Treeno platform to plan and record town meetings and other events, offering the general public the ability to view the records, minutes and other documents related to town business, and even providing access to audio files of certain events. The system also allows board members to collaborate on meeting agendas, without having to pick up the phone or walk down the hall. The town's next project will be installing the city's real estate and property records in the system.

Aside from offering the community greater access and insight into the ongoing activities of city government, the platform has cut down on paper usage for both communities, providing an environmental benefit. The system has also eased some of the general logistics of running a municipality.

Annie Dove, the Director of Information Technology for the City of Dover said, "The police department was able to clean out an entire records closet because of this application, and they are pretty tight on space, so that was a huge plus."

Both municipalities are also using the system to digitize archived documents, some going as far back as the early 1900s.

While both York and Dover are using Treeno Software's on-premise ECM product, the company also offers a Software-as-a-Service (hosted) product that can save storage space and simplify backup.
