Making the commitment to deliver intimate conventions to sci-fi fans in Florida, Vulcan Events (http://www.vulcanevents.com) co-owners Fernando Martinez and Javier Garcia have set out to build trust and confidence in a leery market providing fans with an alternative to other convention styles. Drawing on their years of experience, they have identified what has worked for other promoters as well as noted what needs improvement; thereby creating a new format for their conventions and hoping to secure well-produced shows in the process.
Martinez said, “Having experienced other events, we know what works and what can be done better. Better is not good enough though. We are aiming for best.”
Going back as far as 1980, Martinez has been a part of the sci-fi convention world. Having seen great shows as well as some that fall apart before the event date, he has learned from the mistakes of others as well as a few of his own. “This is my company and I am committed to its success. It is very different when you are staking your reputation and your savings to see something like this come to life.”
The company is focused on bringing the stars the fans want to see, not just those that are easy to secure. “It certainly takes longer and the negotiations are not as easy,” says Garcia, “but it is all worth it in the end when you know you have great guests and the feedback from the fans is nothing but positive excitement about your line up.” Aiming for a small show with less than 1,000 patrons, fans will benefit from the relaxed and sociable atmosphere.
Sadly the industry has been tarnished by ambitious but inexperienced promoters. Today’s fans are leery of new companies and cautious about risking their money and hanging their hope on promoters they don’t know. To build trust and confidence in Vulcan Events, Martinez and Garcia have boldly promised to refund tickets to their sci-fi conventions—for any reason—up to 30 days before the event begins. In addition, they have promised not to switch and/or cancel guests if ticket presales are not as high as they predict.
Focusing on putting on a great event, Martinez and Garcia have started working on their first event taking place in May this year in Tampa. The preliminary activities list includes autograph and memorabilia auctions, contests, innovative games, a lively dance party, autograph sessions, celebrity Q&A sessions and panel discussions, and even special events and games developed expressly for children. Vulcan Events promises refreshing alternatives to other convention styles that offer one long line after another.
Many fans will recognize Fernando Martinez from his 15 years working and partnering on numerous successful sci-fi conventions. Javier Garcia has 12 years of event planning and coordination experience. Coming from an IT background, he has managed a software company’s presence at high-profile conventions such as MacWorld and Seybold. Additionally, he has also worked on several successful sci-fi conventions.
