Archive Systems, a leading provider of document management services, today introduced ASPEN Accounts Payable, Release 9.6, which includes a new PO requisition module. ASPEN Accounts Payable is a SaaS-based solution that streamlines the AP process by completely removing paper from the process. The new PO Requisition module extends accounts payable automation by enabling users to create and route PO requisitions online and automatically match them to incoming invoices for straight through processing.

“There was a void in the market between high-end, expensive PO systems and companies using paper - or no system at all. Our PO Requisition system fills this void. Purchase approval is another paper-intensive process in which we’re able to assist companies on their path to a paperless future. By implementing the PO Requisition module integrated with our Accounts Payable solution, companies are able to maintain tighter control over the entire procurement flow,” said Gordon Rapkin, CEO of Archive Systems.

ASPEN Accounts Payable’s PO requisition technology enables users to generate PO requisitions and route them online for approval using SmartRouting technology. Upon requisition approval, POs are emailed to the suppliers directly from ASPEN Accounts Payable, eliminating paper being passed back and forth.

Automated matching occurs between the PO and the invoice when it arrives. All invoices are tracked against the PO in the case of a blanket PO, or partial payment against a PO. Intelligent matching rules ensure tight controls are in place, and tolerances can be applied during PO to invoice matching to allow for unexpected amounts like tax or freight as well as overages on items shipped.

Additional enhancements in Release 9.6 speed up implementation times so Archive Systems’ clients can realize the benefit of accounts payable automation in a matter of weeks.
