Mobile Access to Your Documents May Improve Your Team's Efficiency

By mobile-enabling your existing Document Management System or Enterprise Content Management, you may improve your staff’s efficiency. Though, mobile-enabling core business processes often comes with the downside of introducing additional security risks, and this is a major issue for most businesses.

If you can tap into the mobility of your workforce, enabling them access to parts of processes, allowing them to make decisions while on the road, you will gain an advantage compared to your competitors.

The recently launched product “mDMS”, available for Apple iPhone®, RMI BlackBerry® and other devices, from the document-centric solutions company enprovia® promises to solve the main issues involved when accessing document-driven processes while being mobile. It connects to a variety of different, common DMS and ECM back-ends and supports secure connections, secure offline storage, subscription to changes to documents and folders and workflows with decision support.

It is common for one DMS or ECM vendor to provide a mobile solution for his own product only, something that may not be optimal in heterogeneous landscapes, where several document sources or archives need to be accessed through one mobile solution. “The enprovia mDMS removes the risk of vendor lock-in as it access multiple back-ends, also simultaneously giving you e.g. the possibility to search across various repositories” says Bo Stahlbrandt, CEO of enprovia. “It further provides you with multiple client support and we are supporting the most common smart phones and mobile devices today, so you can select the smart devices that best match you and your organization,” he adds.

A significant benefit of having mobile access to document centric systems is enabling parts of a business processes to be conducted on the mobile device, e.g. to make a decision to start a financial transaction, or to fill out the company’s internal travel request form.

“We are confident that more decision making will happen while you are mobile, not only the regular voice call, but also that formerly deep-rooted core business processes will be dealt with through small, smart apps by your team while they’re mobile. Customer-centric business processes are the first to take advantage of mobile apps and their connections to the back-ends, but we are already seeing more deeply-rooted processes being mobile-enabled as well,” finishes Stahlbrandt.
