easyLog has developed a range of products that enable cleaning and facilities management providers to meet the challenges of electronically recording visits to their clients’ sites.
Many of these solutions have a starting price of under £500 with no on-going costs – a factor that makes them even more attractive in the current economic climate.
“The diversity of customer sites that require cleaning or facilities management services mean that a single approach to timesheet management, beyond paper-based timesheets, is often inappropriate. One size definitely does not fit all,” says easyLog sales director Graham Rolando.
“We have developed a complete range of hardware and software products to enable staff to record attendance in any environment and location. We offer a mix and match approach within an overall solution, so one management information system can be used across any number or type of locations and employee groupings.”
easyLog recognises that multiple employees going to a small number of sites will require different record-keeping approaches to individual staff visiting many locations. The company has also taken into account when managers need to receive visit information. For some, a simple but accurate electronic record of attendance that can be viewed after the visit is sufficient. For others, it is essential to know the moment that an employee has arrived – which is why easyLog has developed a unique SMS-based on-line, or real time, tracking system.
“It is by tailoring the solution to the individual situation in this way that we are able to keep both capital and on-going costs down,” explains Rolando.
Few or multiple sites
easyLog has developed two handheld devices for staff visiting multiple locations, both of which just need to be touched against a small electronic ‘button’ held at a client’s premises. The attendance record can then be returned by text message automatically via the cleaner’s mobile phone using our unique system. Alternatively, the visit record can be stored in the handheld device until it is downloaded to a PC or laptop.
The company also has two terminals for recording the attendance of multiple staff at single locations: Both have been designed for use in sites where there may no or little access to a supporting IT infrastructure. The aB-Log terminal is battery powered, it stores the attendance data until the information is downloaded to a memory stick and then uploaded to a PC.
The aBr-Log terminal again requires no IT connections but returns attendance data to a PC or network in real time. The terminal contains a GPRS SIM card that transfers clocking data in real time for instant notification of the arrival or departure of the carer.
Software and attendance analysis options
The accompanying management software matches the flexibility of easyLog’s recording options. The basic application provides simple timesheet management reporting, with an employee’s hours automatically totalled across any date range and analysis of individual locations showing total time, average visit length and other relevant data. More sophisticated modules can automatically calculate pay analysis across unlimited pay rates, compare attendance against a staff rota, provide a personnel system to monitor training, employee reviews, absence and holiday and invoice clients for time spent on-site. Clients can therefore select according to their need and budget.
easyLog’s visit monitoring solutions are already being used by a wide range of public and private sector service providers in locations ranging from East London to Wales and Jersey.
