Texas Health Center Says No claims Lost or Dropped Since Installation

Collections are the highest in the history of the agency and the inceased productivity has forced us to add three staff members to our receivables department.

In just over two years nonprofit CentroMed Health Center went from twelve days in cash reserves to more than eighty days, reflecting an additional five million dollars in cash after implementing Atlanta-based Business Computer Applications’( (BCA) Practice Management System (PMS).

“BCA’s biggest contribution to our practice has been cash flow,” says Chuck Walzel, Chief Financial Officer for the 501©(3) Federally Qualified Health Center (FQHC). “Collections are the highest in the history of the agency while denials are aggressively pursued.” “In fact,” he says, “the increased productivity has forced us to add three staff members to our receivables department in order to keep up with billing and collections.”

Walzel directly attributes the dramatic turnaround in the organization’s financial fortunes to BCA’s practice management system that enables CentroMed management to handle billing, accounts receivable, patient demographics, performance monitoring and collections.

“A huge benefit of the BCA system is that it doesn’t allow any claim to be dropped or lost,” he says. Walzel said that prior to inaugurating the BCA system patient fee receivables were averaging 74 days and there wasn’t any way to isolate open encounters. He said that within the last quarter aging has averaged 48 days. “And we now track open encounters right back to the clerk and constantly track open visits and pressure providers to close them, thus increasing productivity and keeping claims flowing out the door.

“The BCA program uncovered weak areas that we were unaware of in our system enabling us to plug those gaps,” he says.

Another feature of the BCA system that CentroMed uses frequently is productivity tracking, which Walzel says accurately tracks visits per provider. “Since we pay our providers bonuses based on production, accurate counts are important,” stresses Walzel. “It’s also important that the report we run one month will generate the same number if we run it 60 days later. BCA is very consistent in their report generation.”

He also praised BCA’s knowledge of FQHCs. “Their product is flexible enough to meet our changing practice needs and is strong enough to rapidly run reports necessary to effectively manage our practice,” he explains. We know we can call the BCA help desk and consistently get hold of someone we know and that knows us. If we’re running into a difficult issue, BCA puts their staff on a plane and flies them down here for however long we need them. This is the 5th Practice Management system that I’ve used in my 13 years with CentroMed and BCA is the only one I’ve run across that was able to back up every one of their sales claims with actual performance. The return on investment has proven beneficial to CentroMed and the communities it serves.”
