SharePoint Study Provides Insights into SharePoint Content Use and Social Collaboration

Vizit's SharePoint Study shows that organizations are not fully leveraging their SharePoint content nor effectively implementing social initiatives. Vizit™, a leading provider of search, discovery, and collaboration solutions for Microsoft SharePoint today released a study conducted with over 1,100 SharePoint site owners. The study, conducted in August and September of this year, focused on how content is used in organizations and their deployments of social tools based on SharePoint.

Some of the findings from the report:

  •     Less than half the content in SharePoint is actively used each month
  •     Only 28% of SharePoint content is being authored at any given time
  •     31% of organizations have a social initiative now. 46% plan to deploy one within two years.
  •     Increased collaboration is a top goal for social initiatives—but there are others
  •     The majority of organizations deploying social initiatives use no measures to judge success

Some of the most surprising findings were around content use. The study shows that SharePoint is not the only or even the main repository of knowledge in organizations. Moreover, most of the content that is stored in SharePoint is there for reference—and it’s being underutilized. Respondents cited significant barriers to content use. One is Search, but the results also suggest that most organizations are not optimizing search to match the needs of users in their organizations.

On the social side, respondents were consistent with regard to their goals for social initiatives. Most were focused on increasing collaboration and increasing the use of their intranet. Yet, survey responses indicate that organizations aren’t doing what it takes to increase and support adoption of social tools—the necessary first step to success. Moreover, most fail to measure success in any meaningful way, and therefore are stuck making a judgment call as to the success or failure of their social initiatives. Over half can’t declare success after deployment.
