According to Lloyd Smith, President of Mindover Software, the project conception was actually very simple: transfer information about planned Medicaid client visits from a state-run billing system known as AuthentiCare into SageCRM so that Mays Plus could run its operations more efficiently. “Business process improvements often begin with a simple concept in mind,” noted Smith. “It’s the work that’s needed to execute the simple concept that often proves challenging. Still, the out-of-the-box flexibility of SageCRM actually made the development of a fairly sophisticated system much easier than if we had started from scratch.”
Mays Plus, which provides Medicaid program members in Oklahoma with routine home visits and medical services on behalf of the state as well as Private Pay clients, experienced challenges managing ever-changing participation standards from the state of Oklahoma’s state-approved Medicaid billing system, AuthentiCare. “We were managing two systems that didn’t see each other and we needed a solution that helped us run more efficiently while ensuring our level of care was not compromised,” said Barbara Wright, CEO/Administrator of Mays Plus. “We are falling in love with the SageCRM solution Mindover Software designed for us more and more as the installation wraps up. The new SageCRM clinical monitoring system allows Mays Plus to import case visits scheduled and confirmed in AuthentiCare, a telephone-based system, and populate a variety of fields across the CRM application. “We now have more realistic timelines of service provision resulting in more effective access to patient status, staff performance and administrative requirements such as billing and resource availability than we ever had with the old system,” said Wright. “Reports that took my team hours to produce now take minutes with SageCRM. Time savings like that mean we can spend more time monitoring and providing top quality care for our clients, which is our most important goal. The ability to import data and to retrieve it in a multitude of applicable reports has been nothing short of fantastic. We are actually able to monitor service provision much more than we originally anticipated with SageCRM.”
The cost of the new SageCRM systems also appealed to Wright. Compared to the prior system used by the company, the new CRM clinical monitoring system will likely pay for itself within 18 months. “The system saves us time, manpower requirements, helps us do our job better, and costs us less annually than our past software,” Wright observed. “We believe SageCRM will help us to monitor and manage our organization without the pain and manual work-arounds that used to drive my team crazy.”
