IVANS, Inc. the largest insurance data exchange in the United States for over 28 years, is partnering with MiddleOak to grow its Specialty Habitational business & supporting their Independent Agency Partners by integrating IVANS Commercial Lines Download technology into its policy administration system. The solution, which is part of IVANS Insurance Carrier Exchange platform, enables MiddleOak’s agents to receive new, renewal and endorsement policy information electronically directly from within their management systems, instead of using timely and costly manual processes that require data re-entry.

A customer since 1994, MiddleOak selected IVANS for the project because of the Company’s significant knowledge of AL3 standards and proven best practices in agency-company interface implementations. Further, MiddleOak wanted to leverage IVANS Automation Reporting Solution (ARS), which revealed 71% of their agents were already receiving commercial lines download information with at least one other insurance company within their offices. By having this valuable data at the start of the project, MiddleOak was able to put a solid plan in place that would ensure a strong agent adoption rate and return on investment.

Sean Sweeney, vice president of business system delivery at MiddleOak, said, “We have a long history of successful agency-company integrations with IVANS, and their staff has tremendous experience in mapping field data according to ACORD standards. MiddleOak Agencies have some of the industry’s cutting edge technology and were looking for enhanced connectivity with MiddleOak. For example, some of our agents enter their data in as a business owner policy (BOP) while others enter it as a commercial package policy (CPP). IVANS came up with a flexible solution, allowing us to download in both BOP and CPP formats to our agents depending on how it was entered into their agency management systems.”

IVANS Commercial Lines Download solution synchronizes policy information via batch format that resides on the carrier’s system by electronically updating or loading new policy data into the agency’s management system, resulting in a more holistic view of the insured. Using ACORD standards and integrated with 41 agency management systems, IVANS solution saves time and improves operational efficiencies for agents by reducing the error and omission rate and producing more accurate information. Additionally,

IVANS commercial lines download reduces paper-based and manual processes between agents and carriers, thereby gaining expense efficiency associated with servicing these commercial policies.

Sweeney said, “IVANS has been a strong partner for many years, and during this project we were able to rely on their staff as industry experts for guidance throughout the implementation. By choosing IVANS, we knew from day one we would have a quality product that provides a comprehensive view of the insured and would help us grow our Specialty Habitational business segments.” Leveraging IVANS Insurance Carrier Exchange platform, MiddleOak’s commercial lines files can be downloaded on Applied Systems’ Epic™, TAM®, DORIS™ and Vision agency management system as well as Vertafore’s Prime, Sagitta®, AMS 360™ and AMS 360/AfW systems.

David German, group vice president, property and casualty sales and service at IVANS, Inc. said, “We are excited to be partnering again with MiddleOak to enhance their ease of doing business in their Specialty Habitational commercial lines segments and create differentiation in the marketplace. While today’s market continues to be challenged, I expect more insurance carriers will be looking at their products and leveraging automation technology as a viable and affordable tool for growing their business.” Steve Cohen, commercial lines manager at W.T. Phelan & Co. Insurance Agency Inc., in Massachusetts said, “Our commercial team was thrilled when MiddleOak initiated policy download with our agency. The Download allows us to streamline our work flow and focus on customer service rather than data entry. ”
