With more and more NHS trusts needing to identify new technologies to help improve the way hospitals can deliver patient services efficiently, South Tees Hospitals NHS Foundation Trust has embarked on a project with BigHand to implement a digital dictation solution. The BigHand digital dictation system will replace the current analogue equipment which is outdated and will provide the secretaries with state of the art technologies which will increase efficiencies throughout the department.

The project will initially begin in the trust’s orthopaedic directorate and will be rolled out in to approximately 60 authors, 30 secretaries and two administrators, with the option to roll out the system further in the trust at a later date. BigHand will integrate with the trust’s PAS system and BigHand’s Clinic Builder module to help pre-populate patient demographic information. The digital dictation workflow software system at South Tees Hospitals NHS Foundation Trust will be assisted by Olympus DR-2000 and DS-5000 devices.

The orthopaedic directorate covers two sites which are 20 miles apart. Consultants work between both sites and medical notes are transported accordingly. Depending on volume of workload, typists also need to work between both sites. The introduction of digital dictation will reduce the transfer of staff and records between sites and by doing so increase the efficiency of the service.

The orthopaedic secretaries and typists are currently using an analogue system to produce all patient correspondence. It is envisaged that as BigHand uses a word based program this will be easy for the users to adapt to and provide improved functionality.

Why the orthopaedic directorate chose BigHand:

Having evaluated a number of systems and established that efficiencies can be made the orthopaedic team decided to procure the BigHand digital dictation system. The team were impressed at how BigHand encourage user involvement in their product development and the simplicity of the system from a user’s perspective.

What working practices will change:

In implementing the BigHand digital dictation system, the typists will no longer need to work across both sites. They will receive work real time and will not have to wait for clinics to be transported to their offices.

Digital dictation eliminates the need for whole tapes to be listened to, when trying to identify important clinical correspondence which requires urgent action. The clinic builder and bar code facility will ensure patient identifiable demographics are attached to every piece of correspondence automatically.”

This is another example of how an NHS trust can reduce procurement complexities by purchasing BigHand direct through the SPRINT II IT framework with SCC, and removing the need to go through a long drawn out tender process.
