We are prepared and ready at any time of day, all over the globe. The agility and responsiveness that this model provides give us a competitive advantage with businesses that require frequent, time-critical content translation.

Unlike Paul McCartney in his famous Beatles song, Acclaro doesn’t follow the sun to escape the rain. Rather, Acclaro follows the sun to get translation projects done on time.

The New York-based translation agency has implemented the so-called follow-the-sun model to support clients whose translation service needs include frequent small projects with very quick turn-times. This solution leverages a globally distributed team united through a common technology platform for managing project information, assignments, assets and communication.

For West Coast projects, files submitted into the system after 6pm PST (9am ICT) generate orders that are automatically assigned and transferred to Acclaro’s Bangkok office. Thailand-based project managers perform all of the necessary pre-translation prep work and task assignments so that translators in Asia, Europe and Latin America can get started without delay; subsequent steps are queued with resources in the workflow. Engineering support team members also help prepare files and handle all technical aspects. Projects are then transferred to Acclaro project managers in Europe and Latin America for further coordination of editing, formatting and QA steps.

With this system of around-the-globe translation project management, file transfers to the U.S.-based operations are often made before breakfast the next day in New York. If needed, Acclaro staff on the East Coast are available to execute the last QA steps so that California-based teams receive final translations by 9am PST. Deliveries are then made at the beginning of the business day to San Francisco Bay Area and other West Coast clients.

“Thanks to our worldwide team and translation management platform, we’re able to use time zones to our advantage,” says Michael Kriz, President and Founder of Acclaro. “We make sure that there are specific project managers and engineering staff online across the globe to take requests as they come in around the clock, and to keep projects moving after the PST working day.”

Clear communication between international team members is essential for this system to function properly and result in the high-caliber translation services that are Acclaro’s hallmark. The operations team has systematized every aspect of cross-border collaboration to ensure a seamless transition of activities and to minimize errors. Enterprise cloud-based solutions allow Acclaro global teams to centralize and structure all project communications and assets, guaranteeing a smooth workflow.

“This model can benefit any company requiring a quick, 8 to 24-hour cycle time and round-the-clock attention,” says Kriz. “We are prepared and ready at any time of day, all over the globe. The agility and responsiveness that this model provides give us a competitive advantage with businesses that require frequent, time-critical content translation.”

Follow-the-sun is especially appropriate for the localization and translation of daily website updates, agile software updates, press releases, social media content and blog entries. Companies that sign up for this service get assigned to a team that is set up and trained on the customers’ materials and requirements. “Quick turn translations can frequently fail if they are disconnected from a strategy and consistent program,” continues Kriz. “By connecting them to a planned service program, and using technology to accelerate manual tasks, we are able to meet tight deadlines while maintaining quality and thus significantly improving the customer experience.”
