e-Builder, the pioneer in fully integrated, cloud-based construction program management software to hospitals, announced today that the Facilities team at Stamford Hospital, CT, has selected e-Builder Enterprise to manage construction project information for a new Specialty Building and Bed Tower, and new central utility plant. Skanska has been retained as the Construction Manager for the facility master plan. Users collaborating and sharing information on e-Builder will include Skanska, the hospital project team, the COO and CFO, accounting, architects, and materials management team. e-Builder will be used to track meeting minutes, project cost controls, construction administration process automation of RFIs, Change Orders, and Submittals, and project status reporting.
Prior to e-Builder, project information was managed using a homegrown system that leveraged a combination of Excel spreadsheets and an Access database. During a routine audit of existing project management processes, external auditors recommended the team consider a computerized system to manage projects in the new facility master plan. Kenneth Monroe, Project Director, had experience with web-based project management software and also recognized the potential benefits. “Our major drivers were improving how we manage and track expenditures, and making sure we have a good audit trail so that we can better demonstrate our processes and document controls” said Monroe.
As part of their selection process, Stamford Hospital issued an RFP that went out to several of the top construction solution providers. One of the requirements was that the selected system integrate with Meditech, the hospital’s accounting system. “Once we narrowed our search, the choice was fairly easy”, said Monroe, “considering the glowing referrals we received from other health systems, and the fact that e-Builder had successfully completed a Meditech integration”.
Once implemented, e-Builder will process invoices, change orders, and other cost-related transactions using the Process module, a powerful process automation platform. As part of the integration, e-Builder will transfer cost data into Meditech as these processes are executed. As checks are issued for payment, this information will pass back into e-Builder, creating a full and automated audit trail.
The Processes module will allow a seamless workflow for RFIs to spawn a Change Order, then a Change Order Request, and finally an invoice and payment. “When we looked at the Processes module, we liked how it helps us enable our people to complete a task, and let the system automatically route the task based on the process we’ve defined to the right person” added Monroe. “e-Builder will help us shorten the timeframe to execute these processes, and allow for greater accountability as to where a task is stuck and why. We can then address any issues creating potential delays”.
