If customer satisfaction were an Olympic event, Arqiva, who provides much of the UK’s TV, radio and satellite infrastructure and is currently leading the ‘Digital Switch Over’ project, may well have awarded a gold medal to PHS Recordsmanagement.
Arqiva’s choice to use PHS Recordsmanagement to re-site many essential and business critical files is a compliment, along with an opportunity for PHS Recordsmanagement to prove its ability. Just as any athlete who excels in their field requires the best equipment, Arqiva rightly demands the top suppliers – reliable, consistent and capable of pulling out all the stops to reach the finishing line in good time and delight its supporters
Rising to the challenge, Records management completed the project with a few days’ notice keeping within the tight deadline. The removal of the files from one of Arqiva’s Midlands’s sites was completed using PHS Recordsmanagement’s own team of security-cleared staff. All files were removed from racking, boxed up and, using a GPS tracked vehicle, transferred to a central offsite document storage facility with CCTV security and VESDA fire protection equipment.
PHS Recordsmanagement’s secure sites are strategically located throughout the UK to ensure every business is within easy reach for the document storage and retrieval.
The project was then handed over to the experienced ‘data entry team’ to commence the capture of accurate data for each file. This will ensure simple and easy retrieval of the files when required by Arqiva’s staff, moving forward.
From specification to completion, the entire project took only 10 days.
Ian Martin-Taylor, Program Director at Arqiva owned and initiated the project. He says, “This recent task was a real test and the team have completed it to a tight schedule with flying colours. With so many high profile customers in both the public and private sectors, we can’t afford to use anything but the best suppliers,” continues Ian. “PHS Recordsmanagement gives us the confidence we need to ensure that our documents are safe and appropriately managed, a confidence that we can, in turn, pass on to our customers.
“The service has been consistently reliable and we know that we can count on extra attention whenever needed, such as the recent project in Daventry.”
Arqiva now has use of the bespoke online customer system, ‘Pinpoint’. Alternatively, documents can be physically retrieved in as little as 2 hours, a feat that any Olympic athlete would be proud to achieve.
