Version 8.4 of this fully functional enterprise contents management system increases eQuorum’s strong position in the marketplace by providing key enhancements in its Business Workflow Management, key productivity tools, and upgraded user interface features.
Business Workflow Management Enhancements:
Form-based workflows are a great way to automate a variety of business processes such as Engineering Change Requests or Invoice Payment Approvals. ImageSite Workflow now includes integrated template forms in formats such as Microsoft Word and PDF. Fields on a Microsoft Word template are integrated directly into the document’s metadata , allowing users to make changes to their values directly in the Word files or from ImageSite’s field value displays.
These and other digital forms are now directly integrated into the ImageSite User Interface (UI) allowing customers to easily migrate from paper based processes to automated ImageSite Workflows with existing forms. This minimizes learning curves and provides immediate productivity improvements.
ImageSite’s Lifecycle functionality now supports multiple assignments to documents, allowing long-term lifecycles such as retention management plans and short-term, operational lifecycles such as drawing reviews, document revision and release, and engineering change management.
New Client Side Tools:
In addition to Workflow and Lifecycle Enhancements, Version 8.4 includes a number of highly productive client side tools, including new add-ins for Microsoft Outlook and Bentley Systems MicroStation. These add-ins enable direct uploading from each application to ImageSite. The Outlook add-in is especially powerful since it supports continuous synching of emails from Outlook folders to mapped ImageSite folders. Sophisticated filters in Outlook can capture email messages making uploading of email and email attachments into ImageSite fully automatic.
New client tools also make Scanned Data Capture a snap. The ImageSite’s Windows Explorer Add-in now supports direct upload of scanned files from virtually any 3rd party scanning software to the ImageSite database. Index information captured from scanning software (such as manually entered values, optical character recognition (OCR) and barcode data) is passed automatically to ImageSite providing users a “Rapid Index” view of newly scanned documents.
User Interface Improvements:
ImageSite continues to get better and faster with continuous improvements to its User Interface (UI). Recent support for Conditional Pick Lists makes ImageSite’s document search fields completely customizable to virtually any business need. Unlimited metadata fields with logical (conditional) displays cause the selection in one field to trigger the display of other fields. Values for these fields (Pick lists) are now uniquely displayed based upon prior field selections.
Small changes can yield big results such as those generated by organizing ImageSite’s search parameters and search results on the same page. Users can now more quickly search, refine their search and search again until they find exactly what they are looking for. In addition, sorting search results is now easier with personalized configuration options to specify which field values to display and how wide to make each field.
