Since implementing Sertifi for Salesforce, a pre-built electronic signature app available on AppExchange, Autobytel closes more deals and generates greater revenue while reducing operating costs. Moving to a paperless environment allowed Autobytel to reduce operating costs and increase worker productivity. The contract preparation and approval team was reduced from eight to two employees enabling six employees (240 hours per week) to contribute more time to revenue-generating activities. Prior to using Sertifi, Autobytel had a paper-based process for getting contracts signed. Printing, scanning, faxing, and shipping were expensive and labor-intensive. From the moment a contract was signed, it took an average one and a half weeks to launch service. Sales people would have to collect hand signatures and then fax the contracts back into the office. The issue of paper contracts with handwritten redlines and attached amendments that are ineligible for processing slowed the process even more.
The manual task of storing paper contracts was also a burden. Paper contracts were stored by a third-party company at an off-site location which resulted in recurring costs each month. If an original copy was needed, Autobytel would pay additional fees to have the box containing the contract shipped back. Autobytel would then sift through hundreds of contracts to find the specific contract. Once found, Autobytel would pay to have the box shipped back to the storage unit.
By integrating Sertifi for Salesforce, Autobytel automated the contract approval process. Autobytel no longer manually reviews and approves each contract. Contracts include required fields eliminating missing or incorrect data. All contracts received are complete and ready for processing. Signed contracts are then stored electronically eliminating costs of storing paper. Retrieving a contract which once took days now takes just seconds!
