PDF Association releases its brochure “PDF/A in a Nutshell 2.0”.

The PDF Association is about to publish a new edition of “PDF/A in a Nutshell”. This informational brochure contains all the most important information about PDF/A in a structured format, for a crash course in the ISO standard. As well as providing a basic level of information, this completely rewritten edition offers everything you need to know about the developments that have come with PDF/A-2 and PDF/A-3. Among other things, it covers PDF/A tools and strategies for creating and validating PDF/A files. An entirely new range of case studies from around the world also show how users can benefit from PDF/A in the worlds of finance, public administration, science and legislature.

You could almost say it’s the concentrated result of seven years of PDF/A. Readers can use it as a starting point to learn anything else they might need to know from our association’s specialists.”

In “PDF/A in a Nutshell 2.0”, the experts first introduce PDF/A as an ISO standard for long-term archiving and offer an overview of its history. The brochure then goes into the technical details and the reasons for using PDF/A – a list that includes the format’s longevity, its ability to meet legal requirements, its use for scientific and research documents and for providing information worldwide, its platform-independence and its options for full text searching.

The brochure offers further added value in its list of the typical areas of application for PDF/A. The standard has proved its suitability for a wide range of tasks, not just for digitising files and documents, or for migrating archives from older formats to PDF/A: PDF/A is also a reliable storage format for handling incoming and outgoing mail. Perhaps even less well-known is the fact that PDF/A-3 in particular has proved itself a powerful, flexible tool for team-based collaboration using modern systems such as Microsoft SharePoint.

As for PDF/A creation tools, a few typical processes are discussed, the type depending on whether documents are created based on scanned documents, converted source data, file export, print output formats or print data streams. The brochure distinguishes between desktop software, server-based solutions and programming libraries as well as the more and more commonly-available PDF/A functions found in document management and output management solutions. Another chapter of “PDF/A in a Nutshell 2.0” investigates the subject of validation solutions; among other things, it discusses why and when to best validate a PDF/A file.

A brief presentation of a range of practical examples, sorted according to industry including public services, finance, industry, legislation and justice, illustrates again the range of possible applications for the long-term archiving format. Myths and legends surrounding PDF/A are also examined, to dispel any uncertainties that potential users may have.
