In the wake of rising postage, paper and labor costs, many small to medium size businesses seek an alternative solution to printing and mailing once-a-year tax forms 1099 and W-2. Integrated Data Management Systems, Inc. (IDMS) and Data Fabrications, Inc. have developed a cost effective solution.

With the Account Ability FileCabinet, IRS compliance requirements are baked into the system from the ground up.

In the past, the electronic delivery (eDelivery) of information returns – 1098, 1099, 3921, 3922, 5498 – and annual wage reports – W2, W2c – via the web as electronic statements (eStatements) was only possible for large corporations armed with web developers, software programmers, database administrators and network engineers. Until now!

Integrated Data Management Systems, Inc. (IDMS), a leading provider of 1099 and W-2 software, has partnered with Data Fabrications, Inc., a leading provider of document delivery and document management software, to develop a cost effective eDelivery system for small and medium size businesses. The end result was The Account Ability FileCabinet system.

Account Ability's innovative FileCabinet system harnesses the industrial strength forms processing power of Account Ability Tax Form Preparation software to seamlessly create and electronically deliver information returns and annual wage reports. The Account Ability FileCabinet is analogous to a virtual file cabinet consisting of an unlimited number of electronic drawers (eDrawers), each belonging to a specific filer and capable of holding an unlimited number of eStatements. Information returns and annual wage reports printed to the FileCabinet printer are automatically converted to encrypted PDF eStatements before being eDelivered.

Compliance – Pursuant to IRS Publications 1179 and 15-A, the recipient must consent in the affirmative and not have withdrawn the consent before the statement is furnished. The consent by the recipient must be made electronically in a way that shows that he or she can access the statement in the electronic format in which it will be furnished.

Tony Karwatowicz of Data Fabrications, Inc., adds, "With the Account Ability FileCabinet, IRS compliance requirements are baked into the system from the ground up. All the user has to do is print to the FileCabinet printer to eDeliver their eStatements. The system takes it from there. It couldn't be any easier or more secure."

At the request of many users, an email only edition of the FileCabinet is also available. With the email only edition, however, compliance and the SMTP server are the sole responsibility of the user.
