No more hunting for scanned documents: tight integration of document scanning, management and archival functionality from SMB market leaders ensures scanned documents are automatically tagged and classified for instant retrieval.

Kofax Express and M-Files complement each other by sharing the same intuitive approach to ease of use through a simple Windows interface

Motive Systems, the developer of M-Files easy document management software, is now tightly integrated with the Kofax Express software solution from Kofax plc (LSE: KFX), the leading provider of document-driven business-process automation solutions. Kofax Express is a state-of-the-art, all-in-one, scan-to-archive software package for image capture applications that makes it easy for anyone to quickly scan, organize and store documents. The deep integration maps tags and other metadata captured by Kofax Express during the scanning process with corresponding tags and properties in M-Files, ensuring that scanned documents are automatically classified by appropriate categories (such as customers, contacts and/or projects) and stored in the M-Files Vault. This makes it a snap to find any scanned document, and to view all relevant documents by customer or project, for example.

Kofax Express provides an ideal front-end capture companion to M-Files, offering fast, unattended operation with the latest scanners and multi-function printers, and includes support for barcode identification, conversion to searchable PDF and PDF/A formats, image quality enhancement, and automatic document separation. The capture solution is easily installed, adopted and maintained, enabling organizations to quickly reduce costs and improve productivity.

M-Files is compatible with the entire range of Kofax Express scanning solutions, from Kofax Express Desktop through Kofax Express Super High Volume Production, addressing the scanning and document management needs of most companies, spanning small and medium-sized businesses through enterprise workgroups. M-Files is integrated with Kofax Express via an export connector, which is available directly through Motive Systems or its network of authorized resellers.

“Tightly integrating the high-performance scanning and capture technology from Kofax with our easy to use M-Files document management system delivers an affordable solution that enables companies large and small to save massive amounts of time and dramatically increase productivity,” said Greg Milliken, president of Motive Systems Inc. “Our partnership with Kofax makes automated, high-volume scanning and document management accessible to any business, regardless of size or IT resources, making it easy to incorporate efficient processing of scanned documents into any company’s core business operations.”

“Kofax Express and M-Files complement each other by sharing the same intuitive approach to ease of use through a simple Windows interface,” said Jim Nicol, executive vice president of products at Kofax. “Non-technical users can now cost-effectively scan thousands of documents per day, knowing that Kofax Express and M-Files will ensure that all documents are correctly tagged and stored for fast retrieval.”

Why Easy Document Management Makes Sense For Any Company

Most companies store documents in cluttered network folders, or deal with the problem of important documents scattered across individual PCs. Professionals spend up to 50 percent of their time looking for the right information,* including unproductive tasks such as searching for documents and emails, interrupting colleagues to locate information that should be available instantly, determining if a document is the latest version, or worse, needlessly duplicating work already completed by a colleague. Each day, when opening or saving a file from applications like Acrobat, Excel, PowerPoint, Word and QuickBooks, millions of office workers are wondering: “Where is the file I need?” “What was it named?” or “Is this the latest version?” This is a huge drag on productivity, especially if one factors in those times when a document cannot be found and must be recreated, or when work progresses using the wrong version of a document.

M-Files Is A Must-Have Addition To Any Windows Workgroup

M-Files is a powerful document management system that enables companies and organizations of all sizes in a variety of industries to make dramatic gains in efficiency and productivity by improving the way they organize and manage their business documents and processes — without requiring them to change the way they work. M-Files eliminates traditional Windows folders; instead, users open from, and save to, the M-Files Vault. Documents are simply classified as a common type, such as an invoice, proposal, email, contract, etc., and a descriptive tag or two is added — that’s it. Finding a file is as simple as typing in a tag or performing a full-text search right from the Open or Save dialog box of any Windows application. This is possible due to M-Files’ unique “Virtual-Local” drive technology that allows the vault to appear as a local hard drive (the M: drive), in any standard Windows Explorer dialog box, whether online or offline. For companies that would rather not set up their own central server, a hosted version called M-Files Cloud Vault is also available, providing all the benefits of M-Files for a low monthly fee.

M-Files Automates the Scanning of Paper Documents
Tens of thousands of low-cost scanners are sold each month as businesses of all sizes attempt to address the inefficiencies of handling paper documents, and to implement green initiatives such as going paperless. Unfortunately, the vast majority of scanned documents simply move from inefficient traditional file cabinets to disorganized Windows folders. With M-Files, scanned documents are quickly classified and tagged so they can be easily and immediately located in the future. Using M-Files in conjunction with a scanner is an ideal first step toward a comprehensive document management strategy for any business. In other words, start by just storing and organizing scanned documents; it’s quick, easy and ensures that getting rid of paper doesn’t create a new problem. With M-Files, just scan, tag and you’re done; before you know it you’ll wonder why you’re not managing all your documents this way.
