To make things easier and more efficient for business owners, we developed a New Employee Kit they could download via the web, customize with their company logo, update according to their onboarding processes and present to the next new hire that starts.

PrimePay Inc., a leading nationwide provider of payroll, tax, HR, insurance and benefit services, celebrates National Small Business Week by providing business owners with a New Employee Kit containing many of the onboarding forms a new hire needs to complete on their first day. This new hire paperwork package, which is accessible via the web, is available to businesses at no cost and can be customized according to a company’s workplace policies and benefits plans.

In an onboarding practices survey conducted by SHRM, Society for Human Resource Management, in April 2011, 88% of HR professionals ranked ‘communication efforts’ as extremely important for assisting with the performance, engagement and retention of new employees. Part of that process for new hires includes communicating workplace policies, benefit enrollment choices and sending internal announcements… all of which are included in PrimePay’s New Employee Kit. Creating an efficient onboarding process gives new employees a positive first impression, which in turn helps to foster good work ethics. Keeping new employees happy, motivated and productive is critical for retention.

SHRM’s findings also uncovered that 73% of the companies surveyed either agree or strongly agree that the onboarding process has become longer and more intensive over the past five years. Many companies are resource-constrained and HR professionals are stretched thin. PrimePay saw a number of their clients struggle with creating standardized new hire forms for employees to fill out during their first day on the job. “Many clients were using copies of copies of copies for some of their employee enrollment paperwork,” says Nancy Mullin, Manager, Marketing & Interactive Services at PrimePay. “And a lot of times the W-4 forms they had employees complete were outdated. To make things easier and more efficient for business owners, we developed a New Employee Kit they could download via the web, customize with their company logo, update according to their onboarding processes and present to the next new hire that starts.”

PrimePay’s New Employee Kit contains the necessary paperwork which impacts employment, benefits, direct deposit and other information gathered during the new hire process. The online kit also includes links to various government websites for new hire reporting, state tax withholding forms and social security number verification. Some components of the new employee package include:

  • New employee orientation checklist
  • W-4 Form
  • I-9 Form
  • Sample employee handbook
  • Sample confidentiality agreement
  • Direct deposit authorization form
  • New employee announcement
