Phoenix Children’s Hospital Selects Access Intelligent Forms Suite to Meet Electronic Forms Management Needs

In early 2012, Phoenix Children’s Senior Vice President and CIO David Higginson and his team recognized that enforcing version control for paper forms was difficult, that forms didn’t scan the first time if labels were stuck on at an angle, and that photocopying forms was creating legibility issues.

Phoenix Children’s searched for an electronic forms (e-forms) management system that would eliminate these issues. After comparing several products, they selected the Intelligent Forms Suite from Access, the world’s leading provider of e-forms software.

“Of all the e-forms products we looked at, Access Intelligent Forms Suite provided the most flexibility to just do what we need to,” Higginson said. “It also had the best forms design tool, which will make it easy to update and publish forms across the facility.”

Instead of retrieving paper forms for each patient and affixing a label to each one, Phoenix Children’s staff members in admissions and on clinical floors will simply click a button in the Allscripts HIS to generate a barcoded, customized e-forms packet. Each form will be prefilled with patient demographics data intelligently mapped from the Allscripts system.

Once the patient has completed the forms, they’ll be scanned into the hospital’s MedPlus ChartMaxx enterprise content management (ECM) system, which will use the barcodes to associate the forms with the correct electronic health record (EHR) — no manual indexing needed. This will make the forms immediately available to authorized users across the facility.

“Our goal is to eliminate all preprinted paper forms for inpatients and outpatients, and Access Intelligent Forms Suite will help make it happen,” Higginson said. “By printing only what we need, we’ll reduce waste and save time by eliminating labeling, indexing and other manual tasks that were error-prone.”
