Family firm Baird Foods centralises on Sage 200 solution from Datel

Sage Business Partner Datel is working with Warwickshire-based Baird Foods to implement a new Sage 200-based solution, set to go live in the New Year. The new technology will create a unified source of information for the family-run business, as well as helping it to provide customers in the food and drink sector with vital traceability information.

Importers and exporters of food products Baird Foods have chosen Sage Business Partner Datel to implement a new Sage 200-based solution. The new system is set to become the hub of the business, providing a fully integrated source of stock and financial information.

Set to go live in early 2013, the Sage 200 system will replace both a Sage 50 Accounts package and a bespoke stock control system. Director Tony Baird explains why the company decided to migrate to a more powerful IT platform, “As the business has grown, we needed to be able to generate and access meaningful data, such as information on stock levels and pricing trends. While we could do this on the two original systems, it wasn’t easy. In addition, having to key in the same data several times to coordinate what was happening in accounts and stock control was very time-consuming and created the risk of introducing errors.”

When it proved impractical to integrate stock control into Sage 50 Accounts, Datel showed Baird Foods how moving to Sage 200 would be an efficient alternative as an integrated solution providing all the functionality that the business requires. Tony comments, “When we met with Datel, they demonstrated the technology and were able to clearly explain how it would amply meet our needs. We felt very comfortable that Datel had the skills and experience to help us to make an effective move to the new technology and didn’t feel any need to look elsewhere for either the technology or the partner to provide it.”

With the deal signed in October 2012, the project went forward, with workshops being held to precisely define requirements and ensure that the new system aligns closely with the business. The company is now counting down to the go-live date in the New Year.

Having all business information stored in a single location will increase efficiency while also improving customer service. Giving an example, Tony says, “Previously, our sales team would have had to ask me to provide information on stock. With Sage 200, it will be easier for them to interrogate the system and see instantly for themselves when we’ll be able to fulfil a customer order. The system will also store essential information such as sell-by and use-by expiry dates that used to be held separately on our bespoke system. It brings it all together.”

Traceability is a major issue for companies in the food and drink industry, as Tony notes, “Sage 200 will make it easier to provide our customers who supply to the retail trade, with the critical traceability information that they need. We will be able to support them in meeting the demands of an audit by their own retail customers, including some of the UK’s leading supermarkets, and in complying with BRC (British Retail Consortium) standards by tracing the flow of where their raw materials have come from.”
