Northridge Client Deploys Office 365 Cloud Service SharePoint Online for Project Collaboration

Northridge proudly announces the launch of a new cloud-based collaboration portal built on Office 365 Microsoft SharePoint Online for a national real estate development client. The firm specializes in commercial real estate development, project management, and construction consulting.

The client approached Northridge seeking to develop an up-to-date, centralized enterprise content management and team collaboration portal for its national project teams. With geographically dispersed teams made up of both employees and partnering contractors, the client required a solution that was highly accessible and capable of supporting the collaborative business processes and workflows of each development project management lifecycle phase.

Northridge evaluated the client’s business requirements and current challenges, including limited space on a current file share environment coupled with the need to upload large documents such as blueprints, schemas, or high-resolution images – many of which are acquired onsite. Because project documents were currently stored on a file share, the client was losing historical perspective of documents and assets as files were updated. Although a large percentage of files were no longer relevant, the lack of historical data caused uncertainty regarding which documents to delete and which to save. Another frequent challenge was difficult and often ineffective remote access for both employees and partners involved in various projects. The combined challenges intensified communication issues between the client and external entities involved in the various projects.

The primary solution vision was a centralized platform capable of increasing team productivity and improving the delivery of services. Upon analyzing the client’s business requirements, Northridge recommended SharePoint Online, a cloud-based enterprise service available through Microsoft Office 365, to alleviate existing challenges, keep project teams in sync, and enhance collaboration. Office 365 provides a flexible and yet reliable and familiar collaboration platform with robust security features and 24/7 reliability while eliminating the need for on-premise hosting.

The new SharePoint Online solution provides superior document management functionality, driving efficient communications and maximizing collaboration throughout the corporation and its business partners. This functionality includes document library versioning, which enables version tracking and the ability to revert to a previous version. To effectively collaborate with external users, employees can invite contractors and other external entities to work on specific projects and documents within the SharePoint Online portal while controlling access to protected business information.

In addition, the collaboration portal allows the client to easily create team sites and manage projects. Project site templates provide the client with an efficient and repeatable process to stand up new project sites for each project management initiative. Northridge worked with the client to understand their project management processes and then developed the appropriate site templates. Each project site accommodates various documents, content types, and permission levels. To enable ongoing internal client management of the collaboration portal and drive user adoption, client IT administrators actively participated in the template development process.

The new collaboration portal solution connects teams for improved communication and effective project management, irrespective of their geographic whereabouts. The cloud-based portal has been well received throughout the organization and long-term expected benefits are already being measured. Following this SharePoint engagement, the client is now evaluating Office 365 for email purposes to replace its current on-premise Exchange environment. Northridge also continues to partner with the client on several initiatives including a custom accounting application.
