Study Reveals Some Surprising Trends in Email Management, Mobility and Governance
“The Impact of SharePoint – 2016” study found that many SharePoint projects struggle to meet expectations (26%) or have stalled (20%). When asked what has caused this failure, 66% cited the reason as “hard to use.” When asked what steps they are taking to get things back on track, 50% plan to update and enforce their Information Governance (IG) policies. Implementing easy to use information governance policies is clearly an important factor in successful SharePoint implementations.
Colligo and Gimmal have traditionally worked together on email compliance projects. The study revealed that the Outlook client is a popular method for users to access SharePoint content second only to VPN access. Despite that, 76% of respondents say they do not use SharePoint for email management, even though there is a lot of attention placed these days on the risks associated with content contained within email messages. This is a clear area for expansion.
With the increasing mobilization of the workforce, customers are now looking for partners to help govern information more effectively on mobile devices. The AIIM study found some interesting trends regarding the mobilization of SharePoint content:
- Despite the fact that employees are accessing information more often from home, field locations, or while traveling, 72% of AIIM survey respondents said there is no support for mobile device use with their SharePoint implementation;
- Nearly 40% agree that lack of mobile solutions for SharePoint has been frustrating for their users; and,
- The ability to ‘distribute documents in a controlled way’ was important or very important for 90% of survey respondents.
Bob Larrivee, AIIM Chief Analyst said, “less than 2% of respondents report that ‘taking advantage of improved mobile device capabilities’ is a primary driver for moving to SharePoint 2016. This is an area of great opportunity for organizations to maximize the return and value of their SharePoint systems by extending SharePoint capabilities and process engagement beyond corporate walls. Mobile device use will improve productivity and operational efficiency, enabling employees, partners and suppliers to interact on an everywhere, anytime basis.”
