Citizen Potawatomi Nation, a Microsoft Dynamics NAV User, Embraces a Paperless Work Environment as a Forerunner for other Native American Businesses

CPN has become increasingly more enthused about using the software as doc-link has continually managed to scale up with their growing ventures. It has seen great success in the accounting department. “We’re doing a lot more invoices today than we were eight years ago,” says Anthony Arington, CPN’s Financial Applications Manager, “but thanks to doc-link, our accounting department has actually become functional, accurate, and timely, even as the tribal businesses have expanded.”
The Citizen Potawatomi Nation (CPN), with headquarters in Shawnee, Okla., is one of Oklahoma’s 38 federally recognized Native American tribes. A thriving nation that is actively working to retain its culture while being a forerunner in Native American business, CPN has more than 29,000 enrolled tribal members, roughly 10,000 of which reside in Oklahoma. Owning and operating a myriad of business interests is no easy task for CPN. “We were overloaded with the storage of vendor documents and by the cost and space allotted to that function,” recalls Arington. The tribe had an entire file room dedicated to the storage of rolling files, all of which were filled with the past year’s vendor documents. All eight accounts payable technicians had at least one filing cabinet in his or her office, and an entire 30 x 50 metal storage building was filled with paper files. “We were at the point where there was no room to store anything else.”
doc-link was first installed in 2005 and continues to grow with CPN as a leading Native American business proactively adjusting to its own business advancements. When the tribe migrated its accounting software in 2010 to Serenic Navigator, which is built on Microsoft Dynamics® NAV, the new system’s ability to interface with doc-link was a crucial deciding factor. The new software provider worked with Altec to make sure doc-link worked correctly, he adds, “and the integration was built out to our specifications.”

CPN continues to use doc-link workflow as its virtual AP inbox and for the scanning and storage of AR documentation, general ledger entries, bank statements, contracts, credit card statements, W-9 documentation, daily sales recaps and documentation of checks being signed on location.
Thanks to doc-link, CPN’s accounting and HR department uses its limited physical space more efficiently and has cultivated a more tech-savvy staff that works more effectively with vendors, managers and administration than before.
