Lamar County School District in Purvis, Mississippi, is comprised of 10,000 students across 15 different schools. This growing district wanted to restructure their process for new and annual student registration. With a decision to move from paper to online, Ross Randall, Chief Information Officer at Lamar County, selected InfoSnap, the only cloud-based registration management solution that integrates with the SAM7 student information system (SIS).
Through an exclusive partnership, InfoSnap and Central Access developed an API-based integration that provides SAM7 clients with a seamless, on-demand exchange of information between the two systems. The InfoSnap solution provided Lamar County with the infrastructure they needed to convert registration from a paper-based process to online forms. Previously, nearly 100,000 paper forms requesting demographics, contact information, consent forms, medical data, and language surveys were distributed to families each year. “We endured one constant struggle at the beginning of each school year,” says Randall. “We weren’t capturing the important demographic and health information because of the sheer volume of applications we had to process.”
Randall wanted to achieve two goals with one cohesive solution. “We wanted to ease the burden on parents and we also wanted to increase the validity of the data we were collecting,” says Randall. “When you have families’ fill out forms by hand, you’re at the mercy of administrative personnel trying to read what that person wrote, and you ultimately end up with bad data.” InfoSnap’s ability to integrate with their SIS, SAM7, provides Lamar County with a customized solution so staff can directly pull contact information, health questionnaires, and other data with one simple snap.
The feature Randall values most is the customized notification workflow. Administrators are alerted, based on an individual’s permission settings, when specific answers are submitted by families during registration. “Our ELL department is notified when a student registers for school and marks that English is not their primary language,” says Randall. “We are able to target students based on their specific needs and get them the services they require. I’m able to go into the system and pull that data within a matter of seconds and that is key for us.”
The solution from InfoSnap impressed both parents and staff. Parents are provided with an easy-to-use process for registration and administrative personnel are able to better serve students because of access to up-to-date information. Close to a 100% completion rate from families registering students online was achieved in Lamar County’s first year with InfoSnap. “Doing this electronically has eliminated the need for us to tangibly touch any data,” says Randall. “The implementation, paired with seamless integration between InfoSnap and SAM7, has been fantastic. I don’t think I’ll find another company out there that will devote as much time and attention to getting it right.”
