Family First Health Increases “Grant Tracking” Efficiency by Implementing NOVAtime 4000 Workforce Management Solution

Founded in 1970, Family First Health is non-profit, federally qualified health center that provides medical, dental, and social services to underserved communities in the York and Adams counties of Pennsylvania. Family First Health receives grant funding, enabling the health center to provide care to the uninsured population from its five locations. To eliminate manual timekeeping practices, Family First Health chose to implement the NOVAtime 4000 solution, implemented by NE Time Systems (http://www.netimesystems.com/), a premier authorized NOVAtime reseller.
NOVAtime 4000 is a fully-integrated and automated solution complete with time and attendance, scheduling, accruals, leave, and reporting capabilities. Prior to implementing NOVAtime 4000, Family First Health’s employees were required to complete a paper timesheet each day to record their worked hours and distribute these hours to the appropriate cost center(s). At the end of each pay period, employees were expected to submit the paper timesheets to be manually tallied and totaled. However, employees would sometimes fail to turn in these sheets, thus causing problems and delays. According to Elizabeth Workinger, Fiscal Manager at Family First Health, “The NOVAtime system has eliminated timesheet delay. We can successfully track and distribute hours in real-time to the appropriate cost centers for grant tracking.” With NOVAtime 4000, employees now submit all of this information electronically, making timesheet management easier and more efficient. Ms. Workinger is pleased that the system has yielded time savings time for both the staff and for Elaine Scott, the Payroll Staff Accountant. Family First Health exports employee time to Paytime software for payroll processing.
Ms. Workinger also enjoys the security mechanisms that control which features systems users can access and that define the employees that they supervise. She says, “Our supervisors can approve timesheets, and we can limit their access to just the employees they need.” Additionally, NOVAtime 4000’s security access groups provide security rules that define which modules, pages, and other system features and functionality that can be accessed and utilized by a particular group of system users or employees. This can restrict or permit the viewing and editing of certain pages in the system, as well as the type of access that is provided to the users, such as read-and-write or read-only access. This is truly an area of the software that shines.
