USD’s Capital Improvement Projects team will leverage Projectmates cloud-based software for cost controls, reporting, and team communications with construction management firms, general contractors, and design consultants. USD provides wastewater collection, treatment, and disposal services in Southern Alameda County, California. Projectmates equips owners with a full suite of financial tracking tools based on construction industry standards. Before implementing Projectmates, USD’s project managers used Excel spreadsheets to track project costs and invoice information. This method was time consuming, prone to error, and incapable of providing senior management with live program-level reports. Accounting also complained that cost information in AP software didn’t always match project manager worksheets.
Since implementing Projectmates, USD relies on the construction program management software as the single source of truth for project financials. Change order requests, change orders, and pay applications are entered into Projectmates by partnering firms and then routed through electronic approval processes. Project financials are updated in real time, and senior management can run live reports by any number of metrics, e.g., fiscal year, project type, phase, cost code.
Being a public works entity that serves nearly 335,000 residents, USD tracks resident complaints that may come up during a construction project. While Projectmates has nearly 40 out-of-the box modules built on construction industry standards, the software also has a form creation engine that makes it easy to port paper documents to electronic versions, supports approval processes, and adheres to an organization’s security model. With little effort, USD was able to implement a custom form to track resident complaints and their resolutions, also allowing project managers to attach photo documentation.

General contractors are given minimal access to initiate RFIs and Submittals and view construction drawings and revisions. On the other hand, USD partners closely with its CM firms so they play a bigger role in Projectmates in terms of field reporting and change order approvals. Material testing results, inspection reports, OSHA documentation, and record drawings are also all captured in one centralized location that USD can access for years to come.
