Presence Health Selects Access To Replace Preprinted Forms with Bar-Coded E-Forms That Will Be Integrated into MEDITECH’s EHR

Largest Catholic health system in Illinois will simplify and speed the process of getting patient forms into patient records with electronic forms that are generated on demand with bar-codes and demographics applied, and then scanned into MEDITECH’s Scanning and Archiving Solution.

When Presence Health decided to implement MEDITECH’s Scanning and Archiving solution to better manage patient content at six of its 12 hospitals, the leadership team realized that “working with a print vendor to produce bar-coded forms would be too cumbersome and expensive,” said Project Manager Lorena Hernandez-Haller. So Presence Health chose instead to partner with Access, whose e-forms solution generates bar-coded electronic medical record forms and packets on demand.

“We needed to generate bar-coded forms and labels quickly at the point of care and then get these into the electronic patient record easily via MEDITECH Scanning and Archiving,” Hernandez-Haller said. “Access best met these requirements and was able to accommodate our short time frame for getting e-forms management implemented.”

The Access system will obtain patient information from MEDITECH to generate a patient label and apply the appropriate bar codes to each form. The bar codes that are created will empower MEDITECH’s Scanning and Archiving solution to automatically identify the patient and index the form seamlessly into the patient’s electronic chart.

“We’re confident that e-forms generated by the Access system will be assigned to the correct medical record,” Hernandez-Haller said. “Forms will also be readily available to our clinical staff before the patient arrives in the unit.”

When relying on preprinted forms, hospitals typically have to contact their vendor every time they need to update a form and wait for the changes to be made. Then there’s the time and expense of collecting old versions and disposing of them. With the Access system’s intuitive forms design tool, Presence Health will be able to avoid this time-consuming and costly process.

“Access gives us the flexibility to easily update and publish forms and make them available immediately,” Hernandez-Haller said. “Only current forms versions will be available, which will help us satisfy TJC and other regulatory requirements”.
