Martin Health System Automates Order Level Indexing in Clinics with Solarity
St. Louis, Missouri (PRWEB) April 02, 2015 -- Martin Health System, based in Stuart, Florida has reached an agreement with EDCO® Health Information Solutions to implement EDCO’s patented Solarity® medical record scanning and indexing technology at the point of care. The software will enable Martin Health System to improve upon the efficiency and indexing quality of scanned paper charts at the system’s three acute care hospitals with a combined 434 beds and 35 ambulatory locations.
Currently, Martin Health System’s health information management staff prep, scan, and index medical records post-discharge, centrally, at one location. In the ambulatory locations, a small HIM team at each site is dedicated to a similar medical record scanning process. The new workflow will drive productivity and quality improvements by automating the scanning and indexing process for 2.65 million patient images annually across all hospital and clinic locations.
Solarity will allow Martin Health System’s staff to scan batches of up to 250 loose documents at the point of care without the use of bar codes and chart separator sheets. Solarity’s document recognition engine will then automatically index the image to the patient chart where it will be quality checked, centrally, by EDCO’s team of document review professionals in Springfield, Missouri. Finally, the patient record will be released into the health system’s EDMS.

The entire process will take less than one hour. The new workflow and software will contribute to Martin Health System achieving their goal of improving indexing quality as well as reduce system-wide turnaround time.
In addition, Solarity’s Model Builder application will allow for a standardized clinical workflow throughout the health system’s 35 ambulatory locations. In Model Builder, documents will be assigned universal rules, which will allow for Solarity to successfully recognize individual documents as they are scanned and accurately indexed to the appropriate patient chart and document type.
Leveraging Solarity, Martin Health System will begin automatically matching indexed clinical documents to existing orders created in the hospital’s EMR environment. By automating this step, Martin Health will dramatically reduce the time required to match orders and results in Epic. This automated order level indexing process will improve the accuracy of matching results and ensure provider orders are followed up on in a timely manner.
