Automating time consuming HR document processing and policy management
With the increase in employee regulations at all level of governments, and higher legal risk awareness, HR staff workload has increased substantially. It is especially a challenge for small to medium organizations (SMBs) who have limited HR resources. Every new rule or regulation regarding employees often results in a new form, document or policy which must be filled out, signed or electronically acknowledged, stored and tracked.
SP HR Pro takes the application template beyond basic HR management and Employee Self-Service, to automate time consuming and error prone document processing related to New Hires and HR Policy management.

For new hire processing SP HR Pro allows HR staff to automate generation of Offer Letters, and other employee specific documents. New employees can go the New Hire Portal to access tax, policy and other forms, fill them out and submit them back into the portal. Once submitted, HR staff are notified, and the forms are linked to the Employee record in SP HR. Additionally, HR Staff can assign on-boarding tasks to the employee such as new employee orientation and other key onboarding activities. Additionally, supporting departments such as IT or Facilities can be assigned standard onboarding tasks from a template.
For Policy Management, SP HR Pro provides policy development and approvals, and then publishes the policy to the MyHR Portal or the SP Business Suite Intranet Policy library for access by employees. For policies that require electronic acknowledgement, SP HR Pro includes workflow automation that sends email notifications to employees with a link to review the policy and acknowledge it electronically. The system tracks acknowledgements across the employee population, sends reminders and reports on those who have not acknowledged the policy.
Taking Automation Further with form templates for Partner SharePoint Apps
SP HR Pro also provides the option to take automation even further in document automation with Apps partners Qorus Docs and PDF Form Router. The release includes pre-built templates for Word and PDF documents and forms. SP Marketplace also provides form customization services for these Apps.
Now HR departments can automate Offer Letter and other HR document creation from Employee data in SharePoint lists, with templates prebuilt for Qorus DocGeneration 365. New hire and other PDF based employee forms like I9, W4 etc. can be captured straight from Adobe reader on any device and brought into SharePoint libraries or lists with need for SharePoint sign-in using PDF Form Router.
