Southwest Learning Centers and SAMS Academy in Albuquerque, New Mexico, will replace their paper-based student application, intent to return, lottery, waitlist management, and student registration process with a customized online solution. InfoSnap is developing an intuitive solution to streamline these processes in order to implement a more efficient and convenient method to collect and manage student data and enrollment.
“Collecting over 800 applications per year, running a lottery, managing a waitlist and student registration was time-consuming. Partnering with InfoSnap is going to simplify these steps, offering convenience for our families and efficiency for our school staff,” said Sharon Huber, Data Administrator at Southwest Learning Centers.
In the InfoSnap administrative portal, a robust toolset complete with an audit log will facilitate the daunting waitlist management process. These tools will automatically adjust the waitlist as seats are accepted or declined, providing both families and school staff with peace of mind.
The electronic format will allow families who have more than one child at Southwest Learning Centers or SAMS Academy to ‘snap’ data from one student to another during registration. The use of SmartForm™ technology, an intuitive tool built into the solution, will collect relevant data based on previously entered information or choices (grade, activities, medical history, etc.). The data submitted by families is reviewed, polished, and formatted to meet Southwest Learning Centers’ and SAMS Academy’s policies and then delivered into PowerSchool.
“The biggest pain point prior to InfoSnap was that student data wasn’t in one place. There were too many steps and different staff involved to get from the application process to student registration. We are turning that laborious method into a comprehensive end-to-end online enrollment management solution,” notes Huber.
The Intent to Return solution will facilitate better communication between families and school staff by providing families with short, pre-populated forms to find out if they plan to return next year.
To have everything in one centralized place will increase efficiency for school staff. “We will have better tools for collecting and maintaining student information. The formatting and polishing components integrated in our InfoSnap solution will display data consistently. We will have access to cleaner and more accurate data by the first day of school,” said Huber. “We consider ourselves a technology-driven school. Partnering with InfoSnap will place us in the forefront of education technology to ensure that we are utilizing and implementing the most up-to-date, innovative tools to better serve our community.”
