A particular Client of BMS, with whom they’ve had a successful relationship with for many years, was manually processing hand-written forms used in their new hire enrollment, maintenance and termination processes. Their Client requested that BMS handle the HR servicing for approximately 100 of their locations. As BMS saw it, remaining with manual onboarding processes along with increasing volumes of requests was not going to work. An alternative solution became vital to their success in continuing to guarantee turnarounds under their Client’s SLA. BMS, in keeping with the company goal to continually add value, was looking to improve processes, workflows and technology supporting their business. They saw the opportunity to address these challenges by building on their existing salesforce.com system with custom enhancements.
To efficiently handle their Client’s hiring process, BMS required integration with their salesforce.com platform. The solution needed to effectively utilize their HR service representative’s talents while incorporating repetitive processes that could be better supported through automation. By taking a step back and evaluating the entire process, BMS designed a solution that was able to significantly improve the overall experience and efficiency for everyone involved.
Today, BMS has seen a significant increase in the productivity of their team. The enhanced workflow automation and information management has increased the efficiency of the overall process. HR service representatives have expressed that the auto-creation of tasks helps them to better organize their workday and allows them to keep the appropriate focus on each Applicant request, thereby reducing processing time. Every day, the representatives are able to monitor personalized work lists that show which Applicant requests are new and which of their own requests need additional attention. The new solution also provides real-time reporting, allowing supervisors to track requests by hiring stage, as well as the average amount of time requests remain in each stage.
By designing and implementing automated processes that begin at the start of a client request, BMS was able to improve user experience, increase accuracy of information, and reduce overall turn-around time.
