Once placed in the drop zone, the system archives documents into its DB. The system automatically extracts text from all textual documents and builds a search index. Keyword or fuzzy searches can then be performed on parts of the text/information to retrieve originals. Documents that only need to be viewed can be accessed/viewed directly from the ECMS without downloading. However, the original items can be downloaded at any time to obtain a copy.
An inquiry feature shows a thumbnail representation of the item stored so that users can easily recognize contents. A recycle system also protects accidental removal of content and protects users who are saving/replacing newer versions. Overall enterprise resources can be conserved/cleaned up by deleting original documents from individual PC/system folders.
Thus the ECMS functions as a central organization method and repository for ALL types of enterprise content—unstructured AND structured—from “little” to “Big Data”.
