Yamhill County Implements E-Recording of Land Records with Simplifile
Yamhill County, OR (PRWEB) September 03, 2013 -- Yamhill County is now accepting electronic land records for recording through Simplifile, the nation’s largest e-recording service provider, which will save time, money, and improve the efficiency of document recording for customers.
According to Yamhill County Clerk Brian Van Bergen, the county’s primary goal with e-recording is to save customers time and money while providing them with a “superior product as quickly as possible.”
“E-Recording should prove to be a considerable benefit to our customers,” Van Bergen said. “The ability to file documents electronically will save our customers time and money. Although many will still hand submit many documents, our customers will now be able to file documents on their own schedule – right from their desks. They will no longer need to drive across town or ship their documents to us for recording. When we find an error in a customer’s filing, we immediately send back notification and a correction can be done within hours instead of waiting days for paper documents to be sent back to them, corrected and re-shipped to us.”
The list of benefits not only enhances the recording process for Yamhill County’s customers, but e-recording will also expedite the workflow for the staff at the clerk’s office by reducing the time spent on scanning documents every day, speeding up the process of replying to customers with incomplete, inaccurate or “flawed” filings, and giving the staff the ability to batch groups of tasks and work on them more efficiently.
The Yamhill County Clerk’s office will accept all standard land records where transfers of ownership take place, including deeds, mortgages, trust deeds and reconveyances.
“Basically, if the state of Oregon permits a document to be filed where land ownership is concerned - and it is done correctly and completely - we’ll accept it as an e-recordable Document,” Van Bergen said.
The county decided to offer e-recording after hearing from customers that it was something they wanted.
“We not only heard from our local customers that file the bulk of our recorded documents but also from others around the state and across the nation,” Van Bergen said.
Yamhill is the 14th Oregon county to begin e-recording with Simplifile, joining more than 950 additional counties throughout the U.S. who have adopted the same e-recording technology.
