Cortland County Clerk Elizabeth Larkin announced today the implementation of electronic recording (e-recording) of land documents, such as mortgages and deeds, with Simplifile, the nation’s largest e-recording service provider.
The newly available online recording service will enable both the county and its customers to more quickly and efficiently record documents.
“As we enter more and more in to the digital age, the idea of transmitting documents for recording and filing has become a reality. Documents in the Cortland County Clerk’s office are all scanned and retained digitally with multiple back-ups and eventually converted from digital images to microfilm,” Larkin said. “To obtain the digital images we currently accept paper documents and scan them to digital images. The logical next step is to accept them digitally. Mortgages and deeds that are prepared on a computer now can be sent digitally for recording, with the exception of the signature page which must be signed and notarized.”
E-Recording also provides significant cost-saving benefits, contributing to a more ‘paperless’ environment for both the county and their submitters, which includes title companies, banks, attorneys, and other organizations that submit documents to the clerk’s office for recording.
“E-Recording will save our submitters money by not having to spend money on printer supplies, paper and the cost of postage or runners to submit the documents,” Larkin added. “The county clerk’s office will save time and employee costs by not having to open mailings, scan documents, or return documents by mail. Errors in scanning will be eliminated because the images that are e-recorded will be what is put on record at the clerk’s office.”
The chance that a page will be scanned incorrectly will also be eliminated with Simplifile’s e-recording service, according to Larkin.
