Bermuda Hospital Board Deploys Access’s eForms Solution to Enhance Registration and Integrate Patient Documentation with Cerner

System enables registrars to generate admissions packets on demand and handle increased patient visits during the America’s Cup race

Access today announced that Bermuda Hospital Board has deployed its eForms on demand solution. This enables the board’s facilities, which include the King Edward VII Memorial Hospital and the Mid-Atlantic Wellness Institute, to generate electronic forms when patients come to the front desk to register.

The Bermuda Hospital Board wanted to get an eForms system up and running before the influx of visitors that typically occurs during the America’s Cup, the world’s most prestigious yachting race. Access was up to the challenge.

“We needed to go live with our electronic forms before the America’s Cup and Access was able to do it,” said Dawn Furbert, Admissions Manager at Bermuda Hospital Board. “Though we didn’t end up getting as many people through the doors as we expected, it gave us peace of mind to have the system ready to go. Access’s system is very efficient, was easy to set up and meets all our needs.”

One of Bermuda Hospital Board’s requirements was to find an eForms system that would make patient documents available from its Cerner EMR system. Access’s solution checked this box, too.

“With the Access system, everything gets into the Cerner EMR and we haven’t had any issues,” Furbert said.

Previously, Bermuda Hospital Board printed multiple copies of each patient’s admissions packet, even though certain departments didn’t always need their own copy. Patients also had to complete information on multiple pages, and the hospital’s dot matrix printer was at the end of its life. With the Access application, the hospital is only generating the documentation that’s needed by specifying service type and other criteria specific to each patient.

“We’ve cut our paper costs, and as we’re not using carbon copies anymore, this is an extra savings,” Furbert said. “Patients also have less information to fill in as some of it is pre-filled, and the forms are being generated in the department where they’re needed, so we no longer have employees taking paperwork to another building at the end of the day. We can even generate documents at KEMH to print at MWI, which is located in another parish, if needed.”

Another key to the successful implementation was the positive relationship between the hospital’s staff and the Access team, which followed a proven project planning and deployment methodology to ensure that the process went smoothly.

“Access provides excellent support and I‘ve enjoyed working with them,” Furbert said. “Our consultant, Mike, was very helpful, competent and was ready to quickly assist me with any questions or amendments I had or needed. It has been a good experience.”
