Data Capture Service Urges Hotel Owners to Scan Before They Scope: Why PIP Renovations Should Start with an Accurate As-Built

The Dallas-based reality capture firm says most Property Improvement Plan budget overruns trace back to renovating from outdated drawings. Its standard hotel PIP documentation service, priced by property size with free estimates, gives architects, contractors, and lenders one verified set of existing conditions to work from.

DALLAS, Aug. 23, 2026 /PRNewswire-PRWeb/ -- Every franchised hotel in the United States will eventually receive a Property Improvement Plan. Brands issue them on a predictable cycle, owners negotiate the timeline, and then the real question arrives: what is this actually going to cost, and how long will the property be disrupted?

The cycle is well established across the major franchise systems:

  • Soft goods updates, typically every 5 to 7 years: replacing carpet, drapes, wall coverings, and bedding to address routine wear.
  • Hard goods and major renovations, typically every 10 to 12 years: overhauling casegoods, furniture, lighting, and public spaces such as lobbies.
  • Full restorations and repositioning, typically every 15 to 20 or more years: deep mechanical, structural, and layout changes, often timed to coincide with franchise agreement renewal.

Each stage reaches deeper into the building than the last, and each depends more heavily on knowing the property's actual existing conditions. A soft goods refresh can tolerate a rough floor plan. A repositioning cannot.

Data Capture Service (DCS), a Dallas-Fort Worth reality capture firm serving hotel owners nationwide, says the answer depends on a step most PIP projects skip. Before an architect draws a single line or a contractor prices a single guest room, someone needs to know exactly what is there today.

"The PIP tells you what the brand wants the hotel to become," said Ramon Rodriguez, founder of Data Capture Service. "It does not tell you what the hotel is right now. Most properties are working from original construction drawings that are fifteen or twenty years old and have been through two or three renovations since. The walls moved, the plumbing moved, the ceiling heights changed. When design starts from drawings that don't match the building, every one of those differences turns into a change order later."

The hidden cost of guessing

Hotel owners typically budget PIP work from a combination of the brand's scope document, a walk-through, and whatever drawings the previous ownership left behind. DCS sees the consequences of that approach repeatedly:

  • Field verification eats the schedule. Architects and engineers return to the property multiple times to re-measure rooms, corridors, and back-of-house spaces, delaying design by weeks.
  • Bids come in with contingency padding. Contractors who cannot trust the drawings protect themselves with higher numbers.
  • Surprises surface during demolition. Undocumented mechanical, electrical, and plumbing routing, inconsistent room dimensions across floors, and prior unpermitted work all appear after the budget is locked.
  • Rooms stay offline longer. Every rework cycle extends the period a floor is out of inventory, which is lost revenue on top of construction cost.

What "scan first" looks like

DCS captures the entire property in a single site visit using Leica RTC360 and BLK360 laser scanners, Matterport Pro3 cameras, and drone capture for roofs, façades, parking, and site context. The visit is scheduled around occupancy so guest rooms are captured floor by floor with minimal disruption.

From that data, DCS delivers what the owner's design and construction team actually needs:

  • Schematic floor plans and as-built drawings in AutoCAD or Revit, ready for the architect to design directly on top of
  • Scan-to-BIM models for properties where mechanical, electrical, and plumbing coordination is part of the scope
  • Full MEP documentation of existing systems above ceilings and in back-of-house areas
  • Interior and exterior condition capture with a navigable Matterport virtual tour, so architects, brand representatives, lenders, and out-of-town ownership can walk the property without traveling to it
  • Drone capture of roof condition, exterior elevations, signage, and site

Because every stakeholder works from the same verified dataset, the owner can request accurate bids, the architect can skip repeated site visits, and the brand's design reviewers can see existing conditions directly.

"Owners call us when the PIP has been issued and the clock is already running," said Terra Rodriguez of Data Capture Service. "What we want hotel owners to know is that the best time to capture the property is before the design team is engaged, because that is when accurate existing conditions save the most money. The second best time is right now."

Who this is for

The service is designed for hotel owners, asset managers, and ownership groups facing a brand-mandated PIP; for buyers evaluating a hotel acquisition where a PIP is attached to the deal; and for architects and general contractors who want to begin renovation work from verified conditions rather than assumptions. DCS serves the Dallas-Fort Worth market directly and dispatches teams nationwide.

A routine service, priced by the size of the hotel

Hotel PIP documentation is a standard part of DCS's work, not a custom engagement. The firm has refined the process into a repeatable workflow: one site visit, scheduled around occupancy, followed by a defined set of deliverables built for hotel renovation teams.

Pricing is equally simple. DCS uses a standard pricing model for hotel PIP documentation based on the size of the property, so owners know what to expect before the first scan. Estimates are always free, and most can be provided from the hotel's key count and square footage without a preliminary site visit.

For an owner holding a newly issued PIP, this is the fastest way to get accurate existing conditions into the hands of the design and construction team and to start the project from a verified baseline rather than assumptions.
