AssetOptics Deploys Work Order Management Technology in Public Works for the City of Elgin, Illinois

The Elgin City Council approved and supported the project as part of a broader improvement initiative using the Salesforce Platform to deliver high-quality services for the City and its citizens at the lowest possible cost.
At project completion, AssetOptics will enable the City to automate initiation, reporting and tracking for nearly every activity in the entire Public Works department. The City will also be using the solution to track and maintain City-owned assets, from street trees, signs and manholes to trucks, bulldozers, tractors and even fire stations.
Elgin Senior Management Analyst Dan Ault, who spearheaded the project, commended AssetOptics and its team for helping the City realize goals that were not initially achievable through the Salesforce Platform. “AssetOptics never viewed the scope of services as static and instead has worked with us, and incorporated our ideas, to get the best possible outcome,” said Ault. “As new technology became available, they were on the forefront of grabbing it and saying, ‘Hey, let’s use this instead.’ The progress has been phenomenal.”
The end-to-end work order management solution is completely mobilized, with Public Works employees in the field being able to enter and update information—and initiate new requests—directly from their mobile devices. Task initiation starts the workflow process, with all actions and activities updating automatically to the 311 Call Center, the contact point for citizens to report a problem. From there, if citizens call to report an issue, they can be informed that the City is already addressing them.
Elgin has also catalogued all of its assets and integrated them into the system. When a citizen notifies the 311 Call Center of a problem that has not been processed, call center personnel can locate the asset in the system and log the complaint or concern, which starts the chain reaction of requests, work orders and other processes that ensure the issue is evaluated and resolved on a timely basis. This global visibility also eliminates duplication of effort, optimizing manpower and equipment usage.
When fully implemented, citizens will be able to directly view relevant asset details, such as the maintenance history of a streetlight or whether a sidewalk has been scheduled for repair. The City is currently tracking and inventorying all of its assets through the system, with inventory granularity extending to such detail items as materials and supplies for fire station personnel. Ault is also rolling out the preventive maintenance component for all the assets in the system, down to street signs, trash receptacles, park benches and more.
