Early Colligo Engage Success Proves SharePoint/Office 365 User Adoption Is Top Priority for Companies
Chicago, IL (PRWEB) April 30, 2015 -- -In a 2015 AIIM survey of 422 member companies, 1/3 feel their SharePoint project has struggled to meet their original expectations and 26% feel that progress has stalled.
-60% of responding organizations were “struggling to persuade users to manage and share their content in SharePoint and not elsewhere.”
-Yet, 75% of these organizations remain committed to building their ECM, records management and collaboration around SharePoint.
-Further, the study reports that 23% of organizations use third party tools for Outlook integration, and that figure will double in the next 12-18 months. Similarly, 12% are using mobility tools, a number that will quadruple over the same period.

Increasing User Adoption on Office 365
Costa Mesa-based real estate investment firm, Donahue Schriber, came to Colligo needing a seamless process for pushing documents to field workers using iPads. The company had recently migrated all of their documents to Office 365 and needed to securely move and cache documents on iPads.
“We wanted a solution that would allow us to store documents locally on the tablets, but give us central control over who received what information. With Colligo Engage we can easily configure groups and locations, and set parameters for syncing the appropriate content to each iPad for each individual user,” commented Jonathan Becker, Database and Portal Administrator at Donahue Schriber. “We also looked for transparency, a solution that would take features of Office 365 into account and replicate those on the iPad. We found that Colligo Engage allowed us to present our content on the iPads grouped and sorted according to our customizations in SharePoint Online. To the user, the process was really simple. We simply handed them their devices with the new Colligo app installed and they found it easy to locate the documents they needed.”
Enabling Field Technician Productivity
One of the world’s largest oil and gas companies, and a mature SharePoint user, turned to Colligo to equip thousands of field technicians with iPads and remote access to SharePoint. The IT group had a mandate to leverage SharePoint to centralize data collected from the field and they were looking for a solution that would be simple to deploy and, more importantly, simple to use.
One of their main success factors was a “better-than-browser” user experience and the ability to work with SharePoint content even in remote locations where an internet connection is not possible. The roll-out of their Colligo software was an overwhelming success and the company is now planning another wave of deployment of the Colligo Engage iOS app.
Reducing eDiscovery Costs through Better Email Management
The Microsoft Legal and Corporate Affairs Group set out with the goal to give its 1,000 professionals a single view into both the documents and email to be stored in SharePoint.
“Email management is an extremely important part of LCA’s SharePoint implementation, since the bulk of the information being communicated both within the department and externally comes in the form of email, or as attachments to email,” said Nishan DeSilva, Director of Information Management & Corporate Records Compliance at Microsoft Legal and Corporate Affairs Group. “Getting email into SharePoint in an effective and efficient manner was critical to the success of the project, and the ability to drag and drop content from Outlook into SharePoint helped with our user adoption.”
Metadata functionality has helped LCA drive compliance, facilitate retention policies, enable better enterprise search and reduce eDiscovery costs. Further, DeSilva comments: “One of the great benefits of Colligo is that you can access your entire SharePoint repository from inside of Outlook. This is a very powerful capability for our attorneys who live in the world of Outlook. With Colligo, they can work on their email and collaborate on documents at the same time, all from within the Outlook interface.”
Centralizing Documents to Reduce Risk
