GMR Transcription Releases Statement Regarding Recent FTC Matters
Tustin, California (PRWEB) March 04, 2014 -- GMR Transcription, an Orange County, CA-based Transcription and Translation company is clearing the air on FTC ruling, complaint number 122-3095 that cited a leak of sensitive data in October 2011, which GMR promptly addressed and contacted Google to have data removed.
The FTC ruled that GMR Transcription had inadequate security measures in place for client's medical transcription files. The complaint alleges that in October 2011, GMR's medical transcription vendor Fedtrans of India erroneously left its port open that allowed Google to index medical record transcripts of some of the patients. The FTC ruled that GMR sustained inadequate safety measures due to a lack of anti-virus software on transcribers computers.
GMR Transcription has been cooperative with the FTC throughout the audit process and has willingly provided all requested paperwork and documentation. The company has admitted to the unfortunate indexing of medical transcripts and made the following immediate changes following the incident:
• GMR made sure that the breach of data was plugged immediately and contacted Google directly to have all of the indexed pages immediately removed from the web. Google promptly removed all sensitive material that was indexed.
• GMR quickly ended their profitable contract with Fedtrans because of the realization that the company cannot ultimately control vendor activities, which is of particular concern when sensitive information is involved.
• GMR exited the medical transcription business.
Since the data breach at its Indian vendors system, GMR has limited their transcription business to academic, business, legal and other non-medical audio files transcribed ONLY by US & Canada based transcribers. Here is how GMR is currently protecting confidentiality of customers:
• Customers register and upload files in GMR’s proprietary online system that has an encryption and security level the same or higher as leading eCommerce sites, such as Amazon.com.
• Their voice file is given a computer generated name before it is sent to a transcriber to protect customers’ identity.
• U.S. & Canada based transcribers sign non-disclosure agreement and confirm that their computer has virus protection before they are allowed to work for GMR.
• Transcribers agree that GMR Transcription can do random checks on their computer to make sure proper anti-virus and firewall software is installed.
• Each file is assigned to a specific transcriber by a GMR corporate employee.
• Transcribers can only see computer generated name of the file, thus do not who the voice file belong to – it is a “double blind” system.
• Upon transcribing the file, the transcript is uploaded for QA by GMR designated in-house expert.
• Upon completion of QA, the file is sent to the customer by matching the computer generated file name with the original file name.
