Sulphur Springs, Texas (PRWEB) October 01, 2014 -- For the past several years, Greater Baltimore Medical Center (GBMC) has been registering patients using an electronic forms system from Access. This allowed the hospital to replace costly print-on-demand forms with e-forms that are generated with patient demographics, capture electronic patient signatures with Wacom tablets, and send completed forms into EHRs via the content management system. GBMC wanted to take its e-forms and electronic patient signatures project to the next level by adding mobile, web-based forms. They chose Access Passport to achieve this.
“Access’s e-forms and e-signature solution works very well and has allowed us to eliminate paper at our registration desks,” said Jonathan Schoemann, applications manager at GBMC. “With Access Passport, we’ll be able to quickly collect patient signatures on iPads later in the visit, when patients are already in their rooms.”
Previously, a staff member printed a stack of CMS observation consent forms each day and took one to each patient who needed to sign one. After the patient completed their information and signed the form, each page was scanned and discarded as part of what Schoemann calls “a wasteful, paper-based process that could take hours.”
All this will change with Access Passport. Now, a staff member will log into Passport’s intuitive, one-stop web interface on an iPad, see the list of patients who must sign the CMS form, and then go to each room to quickly collect a secure digital signature.
“With Access Passport, we’ll have patients sign CMS forms right on our iPads and the forms will go directly into EHRs,” Schoemann said. “There will be no more rummaging around for forms, no scanning and no more wasted paper or effort.”
When Schoemann presented Access Passport to a cross-department steering committee, his colleagues started immediately suggesting use cases hospital-wide, including AMA forms processing and surgical consents. Accounts payable and financials is another area in which Schoemann believes web-based forms will create new efficiency.
“Introducing Access Passport will not only give us the paperless benefits of online forms, but will also allow us to automate processes with business rules,” Schoemann said. “For example, if a purchase request is for over $5,000, it will go to a director, or if it’s over $50,000, it will go to a VP and then on to purchasing without a paper chase.”
Human resources (HR) is another department that GBMC has identified for its online forms project. Currently, prospective employees fill in forms in an online system that requires HR staff members to type the information into the Lawson system afterwards.
“With Access Passport, we can eliminate redundant data entry for our HR team as the information will go right into Lawson,” Schoemann said.
